Our client, a small professional office based in Blackrock, Cork City, is hiring an experienced and enthusiastic Receptionist/Administrator to join their team. This position is a vital part of their operations.
The successful candidate will provide staff with secretarial and administrative support, organise and manage soft and hard filing systems, and complete basic bookkeeping tasks.
Main Duties & Responsibilities
* Responsible for all receptionist duties including phones and in-person and Teams client meetings.
* Responsible for the maintenance and updating of the Anti-Money Laundering Files in the office for all clients.
* Assist all staff in the production of client invoices and posting same to Surf Accounting and SAGE System on instruction of Financial Accountant.
* Maintenance of Time Recording system for the Director and ensuring all time recorded and outlay incurred is properly invoiced to clients as appropriate.
* Manage the office – main contact for service providers (broadband, telephone, IT, cleaner etc). Ensure stocking of all office stationery, staff and client meeting requirements.
* Manage post and all online communications to the office.
* Manage staff holidays and calendars.
* Manage online filing system within the office for all staff.
* Assist in preparation and filing of Company Secretarial documents.
* Responsible for preparation of petty cash reports, tracking company outlays for clients and monitoring the CRO vision net outlay for clients.
* Preparation of Booklets of Documents for Director in connection with client court cases which involves good IT and organisational skills.
* Maintenance of Tax Library both physically and digitally for the office.
Qualification and Skills
* Recognised qualification in office administration desirable.
* Proven written and oral communication skills.
* Work experience relevant to the role is preferable.

Candidate will be a positive self-starter, possessing excellent interpersonal, planning, organisational and computer skills. The successful candidate can readily adapt to changing work demands and knows how to prioritise tasks in a deadline-driven environment.
