Job Description:
To support the distribution department's administrative tasks and ensure smooth operations within the branch and market, focusing on Operations, Finances, Sales, People, Systems, and Culture in accordance with company policies and procedures.
Key Responsibilities:
* Completing accurate paperwork for incoming and outgoing freight
* Coordinating with relevant departments to manage freight correctly
* Daily processing of customer orders and distribution accounts
* Providing timely and accurate operational reports
* Running stock reports to check product availability
* Generating necessary paperwork and information for customer work orders, checking for special requests, and posting inventory records
* Performing accurate and timely data entry for receiving, order allocation, shipping, and inventory management
* Ratifying domestic transportation bills
* Coordinating special last-minute shipping requests with the Transportation and Operations Departments, expediting orders as necessary
* Tracing orders and notifying customers of any activity concerning their order
* Maintaining accurate and timely client and vendor billing
* Maintaining damage records and backorder logs
* Handling returned merchandise efficiently and ensuring proper credit is given to customers
* Inputting all receipts, putaways, moves, picks, shipments, and cycle counts
* Providing warehouse staff with necessary documents and information needed to complete receiving and ship orders
* Maintaining excellent working relationships with customers by responding to inquiries and complaints in a courteous and efficient manner
* Reporting customer feedback to management, including signs of customer dissatisfaction
* Serving as a liaison between the warehouse and customer for account administration and between the office and customer regarding invoicing and credit information
* Maintaining strong relationships with vendors (trucking companies, etc.)
* Providing support with miscellaneous projects, filing, and research
* Maintaining a current and accurate DLSOP detailing processing requirements for each account
* Meeting compliance with regulations, including internal policies and procedures (OPS) and external government regulations or customer policies/requirements
* Meeting KPI standards according to company procedures
* Ensuring smooth and timely freight process flow
* Communicating arrival notices to overseas and customers
* Interacting with customers to arrange international shipments, meeting customer service standards
* Understanding department process flow and identifying best practices to improve operational efficiency and productivity
* Overseeing overseas communications, responding to emails and requests (internal and external), and escalating problems to Management when necessary
* Attending training classes when required and meeting company standards for 52 hours of training per year per employee
* Promoting compliance by diligently following company policies and regulations and performing tasks with outstanding integrity and pride
Requirements:
* Excellent computer skills - Excel, Work, etc.
* GDPR training
* Effective interpersonal skills, including proven abilities to listen, comprehend, communicate clearly and concisely to obtain positive results
* Pro-active, strong organizational skills
* Good Microsoft Office skills
* Fluent in operational English, both oral and written
