The Community Centre Manager is responsible for the overall management of daily operations of a Community Centre in the Fingal area, including reporting to the Board/Representatives of the Board, client and activity engagement, and general management including staff management.
Main Duties and Responsibilities
Primary Duties:
* To act as the main point of contact for Community Centres.
* Report directly to the Board of Management/Representative on strategic planning, financial matters, pricing, and staff issues on a monthly basis.
* Develop and implement good Governance Policies and Procedures.
* Develop Business Plan and Marketing Plans that build on existing income streams, provide future direction for the Centre, promote community engagement, and increase awareness and footfall into the Centres.
* Implement the Community Centres Business aims and objectives.
* Develop close working relationships with all stakeholders, including local development groups, resident associations, schools, Empower, Forige, DDLETB, Local Garda, Fingal County Council, and local groups and organisations.
* Develop close working relationships with all clients.
* Evacuation & Emergency Procedures: Be fully familiar with health and safety policies and procedures and ensure their implementation in the event of an emergency. Lead in all fire evacuation drills, contact emergency services, and maintain calm at all times.
* Provide a welcoming and warm environment for customers and visitors to the Centre.
* Respond to initial enquiries, show potential hirers around the Centre, answer the telephone, reply to emails, and use online tools.
* Implement all processes and procedures.
* Produce monthly reports, letters, and other documentation as directed.
* Maintain the building, including maintenance programmes, supervising contractors, and adhering to safe systems of work.
* Financial management: Develop and manage the Centres budgets, ensure income and expenditure align with targets, adhere to financial systems, and prepare financial information for the annual audit.
* Apply for relevant grants and funding to ensure financial sustainability of the Centre(s) and expand current services.
* Staffing: Recruit, select, and manage staff, carry out performance reviews, submit salaries and hours worked accurately and on time to payroll, and ensure adherence to Environmental, Health, and Safety guidelines.
* Coffee Shop Management: Work with the Coffee Shop Manager, oversee day-to-day operations and financial management, and develop the coffee shop business as a social enterprise.
* Confidentiality: Maintain confidentiality on all matters relating to Centre users and business.
* Invoicing: Oversee invoicing of clients in a timely manner and payment to ensure healthy cash flow and avoid bad debts.
* Filing Systems: Maintain appropriate filing systems and records.
* Liaison: Liaise with key holding company, participate on keyholding out-of-hours contact list, and manage pre-planned maintenance schedules.
* Budgets: Manage budgets in conjunction with the Board of Directors.
* Problem-Solving: Resolve challenging situations calmly, effectively, and in a timely manner.
* Liaison: Liaise with Pobal contact, CE Supervisor, TUS Supervisor, and attend master classes with Fingal County Council's Facilities Network.
* Innovation: Develop innovative Community Based Projects and roll them out.
