We are seeking an experienced and proactive Facilities Manager to oversee the operations, maintenance, and management of a large and diverse complex located in South Dublin, comprising residential apartments, commercial units, and carparks. The successful candidate will be responsible for ensuring the complex is well-maintained, safe, and efficiently run, while providing a high level of assistance to both Residential Managers and Commercial Managers who are already in place.
Key Responsibilities
Buildings Management:
1. Oversee day-to-day operations and maintenance of the entire complex, including residential, commercial, and public spaces.
2. Ensure all facilities are compliant with health, safety, and legal regulations.
3. Develop and implement preventive maintenance plans to avoid major repairs and downtime.
4. Coordinate repairs, installations, and upgrades for all areas of the complex.
5. Manage and supervise external contractors for maintenance and janitorial services.
Building Maintenance:
1. Ensure the proper functioning of all building systems.
2. Conduct regular inspections of residential apartments, commercial units, and carparks to identify and address issues promptly with the relevant team members.
3. Monitor the condition of the building's exterior and interior to ensure they meet high standards of cleanliness and appearance.
Tenant And Resident Relations:
1. Address and organise a plan to resolve any tenant complaints, maintenance requests, and general inquiries.
People Management:
1. Assisting with the recruitment, onboarding, training, and supervision of personnel on the site.
2. Develop work schedules, assign duties, monitor progress and support and assist the team to ensure targets are met.
3. Create a plan for good communication across the estate and help develop a team who take pride in the estate and develop it to its full potential.
Health & Safety:
1. Ensure compliance with all health and safety regulations and standards across all areas of the complex.
2. Conduct regular health and safety inspections and implement improvements as necessary.
3. Coordinate emergency procedures and ensure all safety equipment is operational and accessible.
4. Manage, document and report on all accidents and incidents.
Public Carpark Management:
1. Oversee the efficient operation of carparks, ensuring a professional working relationship with the carpark operators.
2. Implement policies to maximize space utilization and cleaning.
3. Address any issues or complaints related to the carpark facilities.
Reporting & Documentation:
1. Maintain accurate records of all maintenance activities, inspections, and repairs.
Skills & Qualifications:
1. A qualified Facilities/Estate Manager.
2. Minimum of 3 years of experience in facilities management, ideally within a mixed-use (residential, commercial, and public) environment.
3. Strong knowledge of building systems, maintenance practices, and health and safety regulations.
4. Excellent communication and interpersonal skills, with the ability to manage relationships with tenants, contractors, and the general public.
5. Proven leadership, coordinating and organizational skills, with the ability to prioritize and manage multiple tasks.
6. Ability to work under pressure and respond quickly to emergencies or urgent situations.
7. Experience with budget management and cost control.
8. Strong problem-solving skills and attention to detail.
9. Knowledge of sustainability initiatives and energy management is a plus.
Working Conditions:
1. Full-time position, Monday to Friday, with occasional on-call duties.
2. The role requires on-site management of all aspects of the complex.
