About the Role:
The successful candidate will lead a team of administrators to complete a range of administrative tasks across various departments. This role involves efficiently managing day-to-day operations, ensuring smooth running of administrative procedures, and providing coaching and guidance to support all administrators within the team.
Main Responsibilities:
1. Plan, coordinate and manage all administrative procedures and systems
2. Allocate responsibilities
3. Provide coaching and guidance to support all administrators within the team
4. Ensure the smooth and adequate flow of information within the company
5. Manage schedules and deadlines
6. Continuously review and improve processes to ensure work is complete as efficiently as possible
7. Keep abreast with all organisational changes and business developments
8. Play an integral, proactive and functional part in Sales, Design, Project, Site, Contract and Engineering Teams
Tender/Sales Process:
Assist Business Director and Tender Manager with costing, commercial, and non-technical aspects of the tender process. Responsible for tracking sales opportunities and pre-quals/tenders within Veolia through maintenance of a log file and/or customer relations management system.
Engineering & Project:
Collaborate with Veolia UK for fleet management in Ireland. Responsibility for Veolia On-boarding procedure for all new employees. Monthly Management reporting. Administration support for Project Managers.
Required Skills:
* 2+ years of experience in an Admin role with appropriate and equivalent experience
* A Bachelor's degree in a relevant field may be preferred
* Very good understanding of office management processes
* Experience with financial and facilities management principles
* Proficient in Workday (advantage but not requirement)
* Proficient in MS Office / Google
* Critical thinker and problem-solving skills
* Team player
* Good time-management skills
* Great interpersonal and communication skills
