JOB TITLE: Reservations Manager
Purpose of job: To be responsible for the Reservations Department to the hotel standard as stipulated in the Standard of Performance Manual.
Responsible to: General Manager, Deputy General Manager, Director of Sales, Marketing & Revenue & Revenue Manager
Key Communications: Reception, Conference & Banqueting, and Sales & Marketing.
Roles & Responsibilities
* To oversee the running of reservations office ensuring that it is run smoothly and efficiently.
* To ensure all bookings are confirmed by the client and confirmed to the client in writing.
* To operate an efficient filing system.
* To operate a yield management system and ensure the best rates are achieved at all times depending on the hotels availability.
* To be a sales person for the hotel by up selling and recommending the hotel facilities.
* To recognise sales leads and pass them on to the sales office.
* To work closely with the Sales & Marketing Manager to ensure that key decisions are in alignment with hotel policy.
* To work closely with the sales team and assist in negotiating rates and organising special promotions.
* To have full knowledge of all the hotels rates and packages.
* To have full control of the reservations in the systems.
* To quote for group enquiries and to follow up appropriately to ensure that they are handled to the required standard.
* Have full responsibility for the status of groups and ensure deposits and prepayments are received on time.
* Ensure that all groups are contracted and that the hotel is protected against cancellation of groups.
* To ensure groups are entered correctly into the system with the correct rate.
* Ensure high level of awareness of the status of groups.
* Ensure that all group traces are actioned daily.
* To ensure that all groups on option are chased or cancelled on time.
* To ensure that all deposits and prepayments are received on time.
* Ensure co-ordination with reception re payment details, arrival times and any unusual requests.
* To co-ordinate in advance with the restaurant, concierge and any other departments any information, which concerns them.
* To check email, Supranational and all other websites on a daily basis and to update the websites regularly with rates and allocations.
* To check and confirm all commission claims for the accounts office.
* To recognise regular and repeat business and ensure special requests are clearly noted for reception.
