Position Overview: This position is fully onsite & is Monday - Friday 39 hours per week. This position plays a critical role in supporting the operational efficiency of the agency and contributing to the smooth functioning of various administrative functions. The Senior Administrator will oversee administrative tasks, assist senior management, and ensure the seamless running of day-to-day office activities. The ideal candidate will be an excellent communicator, capable of managing multiple responsibilities and leading administrative processes. Key Responsibilities: Administrative Support: Provide high-level administrative support to senior management and other departments as required. Handle correspondence, manage calendars, and organize meetings and appointments. Office Management: Oversee office operations including scheduling, maintaining office supplies, and ensuring that the work environment is well-equipped and efficient. Document Management: Ensure proper filing, organisation, and updating of important documents, both digital and physical, maintaining confidentiality and integrity at all times. Team Coordination: Act as a point of contact for internal and external stakeholders, ensuring smooth communication and collaboration between departments. Project Coordination: Assist in coordinating key projects, tracking deadlines, and ensuring tasks are completed within the set timelines. Financial Administration: Help with basic budgeting, invoicing, expense tracking, and procurement processes, ensuring compliance with company policies. Reporting: Prepare regular reports and presentations for senior management, including tracking performance metrics and departmental progress. Key Skills and Qualifications: Experience: Minimum of 3-5 years of experience in a senior administrative or office management role. Education: A relevant qualification in business administration or a related field is preferred. Communication: Strong verbal and written communication skills, with the ability to effectively interact with individuals at all levels. Organisation: Exceptional organisational skills and attention to detail with the ability to manage multiple tasks simultaneously. Technology: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and experience with office management software and systems. Problem-Solving: Strong problem-solving skills and the ability to take initiative in managing day-to-day operations. Confidentiality: Ability to handle sensitive and confidential information with discretion. Teamwork: A team player who is adaptable and comfortable working in a collaborative environment, but also able to work independently when needed. Desirable Skills: Project Management: Experience with project management tools or methodologies. Financial Acumen: Familiarity with budgeting, invoicing, and financial administration. Leadership: Experience in managing or mentoring junior administrative staff.
