Job Title: Front Office Administrator
Location: Aurivo Dairy Ingredients, Ballaghaderreen, Roscommon
Aurivo Co-op is a large multi-purpose Co-operative engaged in a wide range of activities including dairy processing, liquid milk distribution, animal feed milling, retail stores, e-commerce, garden centres, livestock marketing and sports nutrition. This is an exciting opportunity to join our team in Aurivo Dairy Ingredients, Ballaghaderreen, Roscommon where the successful candidate will be the 'Face' of Aurivo Dairy Ingredients, as the first point of contact for all visitors. This person will enjoy interacting with people daily, dealing with many queries both over the phone and face to face.
Key Responsibilities
1. Provide administration support to Finance, HR and Procurement functions, including preparation of weekly/monthly reports.
2. Handle all incoming calls, routing them to the correct person or department, taking messages as necessary.
3. Meet and greet all visitors and manage the visitor sign-in/sign-out process.
4. Assist with the sorting/distribution of all post.
5. Schedule, book, and set up meeting rooms.
6. Manage diary including management of external bookings.
7. Ensure front of house has a consistent high standard of presentation.
8. Assist with general office administration duties, such as data entry, filing, and organizing documents.
9. Help with preparation for meetings or events.
10. Monitor and replenish office supplies, maintaining stock levels and coordinate with suppliers for restocking.
The ideal candidate will have
1. Previous experience working in a reception role / managing phone systems / contact centre.
2. 1-2 years of relevant experience is desirable.
3. Previous experience with Microsoft Office package.
4. Ability to work on own initiative and as part of a team.
5. Strong multitasking abilities and attention to detail. Ability to prioritize tasks in a busy environment.
6. Provide administrative assistance to other departments when required. Assist with ad-hoc tasks or projects as assigned.
