Overall Purpose of the Job
To provide Reception and Facility cover services on a number of client sites. As a Receptionist, you are the face of the client site and you also represent the company. A Receptionist needs to be welcoming, organized, and calm to help employees and visitors feel welcomed and at ease while on site. Site-specific policies and responsibilities will be outlined separately.
Key Accountabilities
o To assist in the management of the Facilities function.
o Receive training on multiple sites and become familiar with the SOPs.
o Provide cover on multiple sites where training has been provided for annual leave, sick leave, etc.
o Implementing permit to work system for contractors.
o Reviewing the Cleaning Diary; log all cleaning calls in the diary kept at reception.
o Handling all incoming and outgoing deliveries e.g., couriers.
o General Administration and taking on ad hoc projects and tasks as and when required depending on the needs of the business.
o Report any maintenance issues which you notice onsite to the Facilities Manager.
o Assist in emergencies such as light leaks, spills, etc.
o Identify and report hazards and incidents.
o Coordinates/leads the completion of facilities requests from employees.
o Ensure Standard Operating Procedures (SOPs) understood.
o Scheduling PPM works and ensure these are completed in a timely manner.
o Keeping accurate records of works carried out and reporting these to your line manager.
o To deliver agreed levels of Customer Service.
o To ensure a high standard of Cleaning onsite.
o To provide Janitor Duties.
o To set up Meeting rooms and assist in Catering requests.
o To complete Post Room Duties.
o Other requests as may be required from time to time.
o Flexibility working weekends and after hours when requested.
o Keeping up to date records of all services and purchases and reporting these to line manager.
o Keeping record of any cleaning issues onsite and reporting these to line manager.
o Near miss reporting.
o Incident reporting.
Skills Required
o Excellent organizational skills, able to prioritize workloads and work effectively to deadlines in a fast-paced environment.
o A high level of attention to detail.
o Ability to work on own initiative and as part of a team.
o Customer service experience with excellent time management.
o Excellent phone manner, communication, and interpersonal skills.
o IT Literate – must have excellent MS Office skills.
o Self-motivated and enthusiastic.
o An extremely professional manner and well always presented.
o Comfortable working in a fast-paced environment, frequently under pressure, while remaining flexible, proactive, resourceful, and efficient.
Working Pattern
Monday to Friday 8:30 AM to 5:30 PM.
