About the Role RCSI Estate and Support Services are seeking a highly motivated person to join our award-winning team. This exciting role will be based in our new Estates Offices in our City Centre University Campus at St. Stephen's Green. Working with a team of Estates professionals, the Helpdesk Officer will be the face of the Estates Department, providing a world-class service to our clients, the students and staff of RCSI. This varied role will provide an opportunity for the right candidate to demonstrate their customer service, administrative and inter-personal skills, and to experience working in a fast paced yet supportive environment where professional and personal advancement is encouraged and nurtured. Specifically, the duties of the post are: To deliver a friendly and efficient Estate and Support Services Department helpdesk and administrative function. The role will involve providing administrative support to the Estates Office and completing various other administrative tasks under the direction of Estates Management. The successful candidate will often be the first point of contact for a student or staff member requiring the services of the Estate and Support Services Department, as such the candidate must be courteous and professional at all times and bring a very client and solution focused approach to their daily interactions with our stakeholders. The role will be office based and due to the person facing nature of the role only very limited opportunity for remote working is possible. The role will require a high level of office administration skills and computer literacy, and ability to navigate and operate various software systems, such as: o Trackplan FM (RCSI's CAFM platform) o Flowscape (RCSI's desk & room booking platform) o Teamwork (RCSI's project software) o Microsoft Office Suite: Word, Excel, Powerpoint (full training will be provided on the various systems as required) The role will involve logging maintenance and other helpdesk queries and assigning these to the relevant Estates resources, and providing regular updates through to completion of the task - an ability to work on one's own initiative in this regard is essential. An understanding or prior experience of maintenance operations and planned preventative maintenance schedules is advantageous. The role may also involve supporting colleagues in other areas of the Department, such as Capital Projects, H&S and Campus Services, and/or other duties as instructed. The role requires a high level of attention to detail, ensuring information is kept up to date and accurate across the various software platforms utilized in RCSI Estates. Knowledge & Experience: The successful candidate will ideally possess and demonstrate the following: Having excellent interpersonal skills, communication skills and a strong customer service ethos is essential for the role. Strong organisational and administrative skills with the ability to focus on and produce results and prioritise objectives. Some technical experience and/or experience working within a Facilities Management or similar Estates Department would be advantageous. Excellent people skills and the ability to communicate professionally and build strong relationships at all levels. Ability to work on one's own initiative to manage to manage a busy workload efficiently and to prioritise key tasks. A high level of confidentiality and understanding of data protection (GDPR). Excellent written and spoken English Language skills. Experience of working within a result driven dynamic environment.
