The Gallery wishes to recruit a Publications and Images Coordinator on a one year fixed-term contract.
The purpose of this role is to enable the production of Gallery publications, facilitate use of digital images of the Gallery's art collection and acquire third party content for Gallery use.
Reporting to the Publications and Images Manager, the Publications and Images Coordinator will: Publications Support the Publications and Images Manager with the co-ordination and editing of book reprints as well as organisational reports such as the Year in Review and Annual Report liaising with (where relevant) co-publishers and collating material from all areas of the Gallery for inclusion in these publications. Support the production of other Gallery publications, working closely with departments across the Gallery including the Gallery Shop, Finance Department, Exhibitions and Collections Services and Communications, Marketing and Digital Engagement teams. Provide support for the Gallery magazine. Liaise with partners and suppliers, issue new supplier forms, raise purchase orders and process invoices and assist with publication production schedules. Ensure the publications stock inventory is correct and up-to-date. Liaise with the Shop to advise of upcoming exhibitions and take orders for Shop stock of exhibition catalogues. Liaise with partner museums who wish to purchase the Gallery's exhibition catalogues and arrange for delivery (often overseas). Distribute Gallery publications to legal deposit libraries, guest authors/artists, Gallery heads of departments, the Gallery's board and copyright agencies and fellow museums. Customised Reproductions and Images Sales Support the delivery of a bespoke print service including liaising with clients, ordering, invoicing, processing and delivery. Process digital image sales requests both on the images website and offline. Image Sourcing, Co-ordination and Rights Management Liaise with cultural institutions and private lenders worldwide to obtain permissions, captions and high quality digital media for exhibition-related purposes working closely with other members of the Publications and Images team. Manage digital media files ensuring they are clearly labelled and easily accessible to other departments. Ensure images are of acceptable standards and file sizes. Administration Duties Input images, data and CRM related information to Capture, the department's Digital Assets Management System and website Administration duties, including but not limited to: answering emails, phone enquires, filing, invoicing, liaising with customers and also helping with staff queries and images for lectures. Complete other duties as assigned by the Publications and Images Manager. The successful candidate will have: A third level qualification, in English Literature and/or Publishing, Creative Digital Media or related field Previous experience in the area of publishing, editing and /or image and rights management Strong customer service skills and experience in working with the public Excellent project management, administration, organisation, typing and planning skills with an ability to meet deadlines and maintain accuracy The capacity to work on multiple projects simultaneously Excellent interpersonal and communication skills (both oral and written) An ability to work on own initiative and as part of an effective team Strong IT skills with a good knowledge of digital processes, Adobe Photoshop, website input and digital asset management An interest in working in the Gallery and a willingness to contribute to a positive working environment Note:This job description is a guide to broad areas of responsibility and accountability and should not be regarded as a comprehensive listing.

Job Details and Application Information Grade and Salary: Salary is in accordance with point 1 of the Executive Officer salary scale (PPC), currently €36,544 per annum as per 1 October 2024 pay adjustments.

Annual Leave:The successful candidate will be entitled to 23 days of annual leave pro rata.
Superannuation: The successful candidate will be placed on the public sector pension scheme.

Duration: Fixed Term Contract of 1 Year
Working hours: Full time, 5 days a week – 35 hours per week (net of breaks).
Please note, flexibility is required and the successful candidate may be required to work occasional late evenings and weekends.
