Job Description
The role of Assistant Housing Coordinator is a critical link between Services Support and Property Operations, ensuring the workload is managed, prioritised effectively and monitored to continually improve performance.
Key Responsibilities:
1. Collaborate with the Property Team to monitor and manage rent accounts, including correspondence with tenants regarding their rent accounts.
2. Support staff in recording and monitoring Rent Arrears Agreements and serve as the primary point of contact for arrears calls to discuss payment plans.
3. Process payments received, make bank deposits, and establish household budget payments with An Post.
4. Submit RAS applications to Local Authorities and conduct annual rent assessment reviews.
5. Receive repair orders through various channels, record them on the housing management system, allocate tasks to housing officers for assessment and feedback, and ensure completion by following up with tenants and contractors.
6. Frequent communication with housing officers and finance departments to update final costs and close off work orders once completed.
7. Schedule and track Health and Safety checks, ensuring all certificates are uploaded, regulatory compliance is maintained, and assist with Asset Management Plans.
8. Monitor and report on voids, ensuring timely refurbishments, and support tenant onboarding by setting up tenants on the housing system, calculating rent, setting up utilities, and collaborating with Housing Officers for a smooth move-in process.
9. Provide general administrative support to the team, including monitoring petty cash and completing monthly reports.
10. Handle tenant queries via phone, direct them to the appropriate department, and ensure all documentation is correctly recorded on the housing management system.
11. Send communications to tenants (letters, emails) to schedule necessary appointments and follow up as needed.
12. Adhere to Focus Ireland policies, including confidentiality, data protection, and electronic communications, and work within the framework of the organisation's objectives.
13. Participate in regular supervision, team and organisational meetings, training, and development courses as agreed with your manager.
14. Promote a culture of vigilance about Health, Safety, and Welfare risks in the workplace, addressing concerns with your manager or Health & Safety Representative.
15. Maintain a professional image that promotes Focus Ireland positively in all activities and conduct undertake any other duties reasonably assigned.
Requirements:
1. Previous administration experience.
2. Proficiency in MS Suite (Excel, Word, Outlook) with excellent attention to detail.
3. Solutions-focused attitude with strong teamwork and communication skills.
4. Trustworthy and able to conduct the role with integrity.
5. Experience in a voluntary housing organisation and familiarity with housing software systems (desirable).
