This is a fixed-term maternity cover role, responsible for managing and coordinating all aspects of building maintenance, cleaning, catering and other facilities services. The successful candidate will ensure the facility is maintained to a high standard and work closely with internal stakeholders to meet the operational needs of the business.The role is multi-functional with excellent organisation and communication skills required.Duties include but are not limited to:Manage and oversee all hard services (e.g., building maintenance, HVAC, electrical systems, etc.) and soft services (e.g., cleaning, catering, etc.) to ensure they meet required standards.Manage and oversee the Planned Preventative Maintenance schedule, ensuring all tasks are completed on time and in line with compliance standards.Coordinate site visits, ensure all necessary paperwork, H&S documentation and remedial actions are completed in a timely manner.Lead and manage relationships with service contractors, ensuring compliance with contracts.Monitor and manage the facilities budget, ensuring effective cost control while maintaining service quality.Oversee and manage the facilities inbox, ensuring timely responses to inquiries, and assist the Coordinator with any requests or queries they may be unable to address.Ensure compliance with all relevant health & safety.Support the ongoing improvement of facilities operations and processes.Oversee the day-to-day operations of reception and the post room, ensuring smooth and efficient service.Work closely with the Hospitality & Catering Coordinator to ensure effective and seamless operations on the client floor.Directly manage a team of 5 people, ensuring they are effectively supported.Coordinate and manage events (when required) ensuring all logistical and operational needs are met.Coordinate and manage small office projects, ensuring they are completed on time to the required standard.Skills Required:Facilities Management Experience (essential): Strong understanding of both hard and soft services, including building maintenance, HVAC, electrical systems, cleaning and catering.Vendor & Contractor Management: Ability to manage relationships with third-party vendors and service contractors, ensuring quality, compliance, and adherence to contracts.Project Management: Strong organisational skills to coordinate and manage small office projects and events, ensuring deadlines are met and all logistical details are handled efficiently.Budget Management: Experience in budgeting and cost control, ensuring that facilities services are delivered within financial limits while maintaining quality.Health & Safety Knowledge: Good knowledge of health & safety ensuring compliance and the safe operation of facilities.Problem-Solving Skills: Ability to quickly identify issues, propose effective solutions, and act decisively to resolve facilities-related challenges.Communication Skills: Strong verbal and written communication skills, with the ability to liaise with internal stakeholders, contractors, and team members effectively.Attention to Detail: A keen eye for identifying maintenance or operational issues and ensuring they are addressed promptly and efficiently.Time Management: Ability to manage multiple tasks and priorities at the same time in a fast-paced environment, ensuring everything runs smoothly.IT Proficiency: Familiarity with facilities management software (e.g., access control, BMS) and general office tools (e.g., Word, Outlook, Excel and Powerpoint).Customer Service: Strong focus on providing excellent service to internal stakeholders and clients, addressing requests and issues promptly and professionally.Life at GTReward and benefits:Our reward and benefits are designed to create an environment where our people can flourish.
