Clerical Grade IV Salary Scale DOE: Point 1 €28,204 to Max Point 13 €42,214 (pro-rated)
The Young Adults team is an inter-disciplinary team that provides clinical supports to young adults upon leaving school. The team's current base is in Johnstown Village, Co. Kildare. This role will form part of the Young Adults team, providing administrative support to the clinicians and the team manager.
Responsibilities
1. Provide comprehensive administrative support to the team.
2. Ensure information management systems are in place and manage information received.
3. Stock take and ordering of supplies needed for the team.
4. Manage referrals, reports, and create electronic referrals for the team on the clinical information database.
5. Run excel based reports from the clinical information database and other records which inform KPI's.
6. Attend meetings to record minutes and manage the preparation of the agenda.
7. Responsibility for overseeing the time management system in place for the team.
8. Reception duties - take responsibility for managing the admin email, and main phone line for the team, respond to general queries, book meeting rooms and deal with local requests.
Essential Criteria:
1. A recognised and relevant secretarial/administration qualification.
2. A minimum of 2 years working in an administrative role.
3. Advanced Microsoft Office Skills, i.e., Word, Excel, Outlook, PowerPoint and Teams.
4. Excellent organisational, communication, telephone and interpersonal skills.
5. Previous experience of IT/Database systems.
6. Can demonstrate an ability to deal professionally with relevant stakeholders.
7. Ability to work as part of a team.
8. Good problem-solving skills with the ability to effectively manage multiple tasks/projects and set priorities.
9. Good understanding of GDPR and emphasis on confidentiality.
10. A Full Irish Drivers Licence and access to own vehicle.
11. Eligibility to Work in Ireland.
Desirable Criteria:
1. Experience using a time management system.
2. Experience working in the healthcare/disability sector.
3. Experience using a client information database system.

Salary is paid in accordance with the Department of Health Consolidated Salary Scales - Clerical Grade IV €28,204-€42,214 (pro-rated for a 28-hour week) depending on experience and budget approval. The successful candidate will be required to provide satisfactory references and Garda Vetting and overseas police vetting, where applicable.
