Job Summary
The role of a Grade IV Officer in Beaumont Hospital involves providing administrative support to the Directorate Nurse Manager and Clinical Directorate. Key responsibilities include diary management, minute taking, printing, photocopying, email management, and other general administrative duties.
Key Responsibilities
* Operational Management: Participate in the development and management of Standard Operational Procedures, establish good office procedures, and ensure compliance with National Standards for Safer Better Healthcare.
* Data Quality: Ensure the quality of data regarding all activity within the Directorate, send copies of Referral Forms and Discharge Letters, and record referrals and discharges.
* Communication: Ensure good communication amongst staff, deal sensitively with telephone calls, and follow up on queries in a timely manner.
* Personal Development/Training: Organize attendance at Hospital Mandatory training and identify own training needs regarding the use of technologies.
* General Duties: Provide cross cover with other members of Directorate Admin Support, manage time and attendance, and perform other duties as required.
Qualifications
Candidates must possess the requisite knowledge and ability for the proper discharge of the office based on the skills, competencies, and knowledge for the post. A high standard of suitability is expected for the office based on the following criteria:
* Mandatory:
o Professional Qualifications, Experience:
+ At least grade D (or pass) in Higher or Ordinary Level in five subjects from the approved list of subjects in the Department of Education established Leaving Certificate Examination or Leaving Certificate Vocational Programme or Leaving Certificate Applied.
+ Or passed an examination of at least equivalent standard.
+ Or satisfactory relevant experience which encompasses demonstrable equivalent skills.
o Health and Character:
+ Fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.
+ Of good character.
* Desirable:
o Good working knowledge of Microsoft Office Suite (Word, Excel, Outlook).
o Experience working in a healthcare environment.
o Excellent keyboard skills.
