Job Description:
Executive Assistant to CEO & CLO (Fixed-Term – 12months)
Are you an experienced and highly organised Executive Assistant looking for an exciting opportunity to support senior leadership at the highest level? We are seeking a dynamic and proactive professional to provide critical support to our Chief Executive Officer (CEO) and Chief Legal Officer (CLO).
About the Role
This fixed-term position offers the opportunity to work closely with the CEO & CLO, playing a pivotal role in delivering high-level administrative, operational, and project management support. You will be the primary point of contact, managing communications, schedules, and key stakeholder interactions with discretion and professionalism.
If you excel in fast-paced environments, have exceptional attention to detail, and can juggle multiple priorities with confidence, we would love to hear from you!
Key Responsibilities
1. Provide high-level executive support – managing schedules, email inboxes, confidential documentation, travel arrangements, and meeting logistics.
2. Act as a trusted liaison between the CEO’s office and internal business units, corporate functions, and external stakeholders.
3. Ensure seamless planning & coordination, maintaining forward-planning systems to manage meetings, actions, and deadlines effectively.
4. Oversee communication & correspondence, drafting responses, handling enquiries, and ensuring timely follow-ups.
5. Support Board & Committee interactions, coordinating documentation, scheduling, and logistics.
6. Manage financial & operational tasks, including processing expenses, purchase orders, and invoices.
7. Assist with event coordination, ensuring smooth execution of CEO & CLO-related engagements.
What We’re Looking For
1. 8+ years of Executive or Personal Assistant experience, supporting C-suite leaders in a corporate or equivalent setting.
2. A proactive problem solver who thrives in fast-moving environments and can handle competing priorities independently.
3. Exceptional relationship-building skills, with experience engaging with senior stakeholders internally and externally.
4. Strong discretion & professionalism, handling sensitive information with absolute confidentiality.
5. Impeccable attention to detail, efficiency, and the ability to anticipate needs before they arise.
6. Excellent communication skills, both written and verbal, with the ability to simplify complex information.
7. Strong IT proficiency, including Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), MS Teams, and Adobe Acrobat.
