Office Operations Manager (Part time)

Company Overview:
Our client is a property, property development, investment and asset management company who are growing and managing a diverse portfolio. Due to continued expansion, they are now seeking to recruit an experienced Office Operations Manager to work part time (ideally 3 days a week) and support their operations in various administrative and executive functions.
Job Summary:
This individual will be responsible for managing office operations, providing executive-level support, overseeing IT systems, and handling various administrative tasks. The ideal candidate will have experience in office management, executive assistance/c-suite, IT systems and credit control.
Key Responsibilities:
Office Management:
1. Provide comprehensive administrative support to the COO and key executives.
2. Organise and prioritise tasks and office functions to ensure smooth day-to-day operations.
3. Serve as a liaison between various internal and external stakeholders.
4. Prepare reports, presentations, and other documents as needed.
Credit Control and Financial Support:
1. Monitor financial transactions, liaising with company accountants and finance teams to ensure accuracy and timeliness of payments and collections.
2. Oversee credit control activities, including invoicing, payments, and follow-ups.
3. Manage outstanding debts and ensure all financial records are up to date.
Office(s) Maintenance:
1. Coordinate office maintenance, repairs, and upgrades.
2. Manage the physical office environment to create a productive and welcoming atmosphere.
3. Organise and maintain filing systems (both digital and physical) to ensure efficient record-keeping.
IT and Systems Management:
1. Ensure data security and compliance with industry standards.
2. Troubleshoot technical issues and liaise with third-party IT providers when necessary.
3. Lead on the implementation and integration of new technology or systems as required.
4. Oversee the day-to-day operation of the company’s IT systems and infrastructure.
5. Manage software, hardware, and cloud-based solutions to ensure operational efficiency.
Requirements:
1. An experienced Executive Assistant/Office Manager preferably with experience in the property, construction, assets management and/or financial services industry.
2. Excellent organisational and time management skills with the ability to multitask.
3. Strong written and verbal communication skills.
4. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), and experience with office management software and tools.
5. Strong understanding of IT systems.
6. Strong business partnering skills.
7. Ability to work independently, exercise sound judgment, and demonstrate initiative.
8. Experience with credit control, billing and financial administration.
9. High level of attention to detail and problem-solving abilities.
10. Discretion and confidentiality in handling sensitive company matters.
11. A proactive attitude and a willingness to take on varied tasks.
12. Experience with property management software or financial management systems.
13. Knowledge of compliance and regulatory standards within the real estate and financial sectors.
