Role purpose
To provide full administrative support to the Chief Executive Officer of Arch Insurance (EU) dac, allowing the executive time to focus on other elements of their role. The Executive Assistant will be comfortable working across all levels of the organisation and will always display the utmost confidence and discretion.
Key Responsibilities
* Diary Management and Organisation
* Diary and meeting management (internal and external meetings)
* Monitor outlook email inbox
* Organise national and international travel for executives and visitors (through travel agent)
* Maintain up-to-date files
* Keeping up-to-date contacts database
* Typing letters, memos, faxes, emails, reports as applicable, either composing them or taking dictation
Meeting Administration and Document Formatting
* Co-ordinate activities around reporting deadlines
* Coordination of quarterly Committees, including drafting agendas, compiling materials etc.
* Scheduling of Committee meetings
* Co-ordinate draft, collate and distribute meeting materials and agendas
* Record and distribute minutes
* Co-ordinate various projects, priorities and deadlines (e.g annual reports)
* Provide ad hoc formatting support for PowerPoint and Word documents
Relationship Management, Entertainment Coordination & Other
* Liaising with high profile clients and senior external parties
* Arrange internal meetings and working lunches
* Work with other Arch teams with ad hoc requests
* Organise entertainment and social events for executive’s department
* Expense Administrator for Concur and Barclaycard
* Management of supplier and vendor accounts
Role Requirements
Skills / Competencies
Intermediate Microsoft Office Suite skills (Outlook, Word, Powerpoint)
Working knowledge of Adobe Acrobat
Advanced minute taking skills, preparing for, attending and minute taking meetings
Ability to work to tight deadlines and remain calm under pressure
Ability to organise self and others seamlessly
High level of discretion and a professional attitude
Ability to develop strong working relationships across the business
Experience working in a relevant role, i.e. Executive Assistant
Flexible approach to work, ability to work autonomously and as part of a team
Good organisational and time management skills
Confident manner and the ability to communicate effectively (written and verbal)
Qualifications
A-Levels / Higher Education
Secretarial Qualification preferred
Experience
Experience working in a Senior Personal Assistant or Executive Assistant role
Previous experience working in the London Insurance market is desirable but not essential
