Purchasing & Stock Administrator
The Role:
Purchasing Administrator, assisting in monitoring and controlling stock levels, supporting the commercial team by assembling and analysing relevant data to aid sales forecasting, demand, and inventory requirements (taking account of seasonality, price changes, lead times etc), whilst also ensuring continual improvement of information provided to the commercial team. Support the sales and warehouse teams and effectively manage stock parameters. Effective communication with both internal and external parties, this role requires multitasking and is a detail oriented and analytical role.
Main responsibilities:
1. Monitoring stock levels and placing orders with suppliers in accordance with company guidelines.
2. Setting up new items on the system and updating the company database records on pricing, lead times, etc.
3. Managing and liaising with suppliers, ensuring that all shipments are shipped on time.
4. Liaising with Accounts Payable and Warehouse Management.
5. Liaising with QA Department on new supplier approval, regulatory requirements, new product specifications and artwork.
6. Supporting all aspects of the procurement process.
7. Assisting in forecasting and working with internal teams to handle changes in demand.
8. Analyse & prepare reports for commentary on all purchases.
9. Assist in developing and implementing purchasing criteria, negotiating competitive pricing.
10. Developing procedures to improve the processes within the purchasing department.
11. Monitoring and evaluating supplier performance based on delivery reliability and quality in accordance with QMS requirements.
12. Improving the ERP system by providing constructive feedback and recommendations on how we could change/improve our system to meet purchasing requirements.
13. Managing incoming calls and emails ensuring they are dealt with in an efficient and professional manner.
14. Coordinating between departments in resolving day-to-day administrative and operational problems.
15. Assisting line manager and team members with ad hoc administration duties and projects.
Key Attributes:
* High Proficiency in English, written and verbal.
* Commercially astute and highly numerate.
* Previous experience in a Purchasing / Stock Management Role.
* Experience working on an ERP system, preferably SAP.
* Experience of cycle counting and reconciliation.
* High Proficiency in Microsoft Office (Outlook, Word, PowerPoint & Excel).
* Exceptional verbal, written and analytical communication skills.
* Ensure work is carried out and completed in a controlled, compliant, timely and accurate manner with emphasis on attention to detail.
* Ability to meet deadlines while working under pressure and multitasking in a fast-paced environment.
* An organised and logical approach.
* An understanding of lean principles, procedures and processes would be advantageous.
