The Opportunity
We are seeking a highly organised and detail-oriented Project Coordinator to join our Engineering and Delivery team at CWSI. In this role, you will be responsible for scheduling projects and optimising resource utilisation across Group operations. You will play a key role in ensuring seamless project execution while effectively multitasking and supporting multiple initiatives.
Reporting to the Field Service Manager, you will collaborate with various stakeholders to maintain project efficiency and alignment with business objectives. If you thrive in a fast-paced environment and have a passion for project coordination, we’d love to hear from you!
Key Responsibilities
* Work closely with the Field Service Manager to manage resource scheduling across the 5 regions, ensuring utilisation is high for billable work.
* Provide project support to the Project Managers and Engineering team of the Operations department.
* Be the single point of contact for resource scheduling and meeting co-ordination to support pre-sales opportunities and project delivery.
* React to the changing needs of customers with the rescheduling of resources based on cancellation requests or customer readiness.
* Coordinate and manage the key approval gates of the department including the Sales to Delivery process and the Delivery to Support process.
* Help to create and maintain accurate project documentation templates, support the team to maximise efficiency with improved processes and procedures to meet the growing needs of the business.
* Work collaboratively with the PMs & Engineers, help to track, and document progress across numerous projects at the same time, prepare project plans, update action logs and risk registers through to project completion.
* Produce utilisation and project profitability reports and provide updates to relevant stakeholders when required.
What You’ll Bring
Must-Have:
* 2–3 years of experience in a professional services environment, supporting teams with resource allocation and project scheduling.
* Ability to thrive in a fast-paced environment, managing multiple stakeholders and adapting to shifting priorities.
* Proficiency in Microsoft Word, Excel, and PowerPoint for reporting, documentation, and presentation purposes.
* Strong working knowledge of Microsoft SharePoint and OneDrive for document collaboration and sharing.
* Customer-focused mindset, with the ability to build strong relationships and empathise with both internal and external stakeholders.
* Fluent in English, French and Dutch with excellent written and verbal communication skills.
