Orwell Healthcare is looking to hire an organised and proactive Administrative Support Assistant to support our Executive PA/ Practise Development Nurse (PDN) on a full timebasis and contribute to the smooth running of daily operations .
We have Long Term Care, Short Term Care, Convalescence and Acquired Brain Injury Units.
The company is expanding and have another nursing home under development due to open in spring 2025.
The Administrative Support Assistant may be required to work outside of the normal hours; with Salary DOE.
Key Responsibilities: Provide administrative support to Executive PA, including meeting facilitation, minute-taking, and presentation assistance.
Produce and format documents, reports, briefing papers, and presentations.
Review policies and reports, track action points, and ensure completion.
Manage filing and archiving at Orwell Private and Orwell Queen of Peace.
Schedule appointments, meetings, and events for Directors.
Conduct research for Directors/Executive PA. Update phone extensions monthly.
Assist with ad hoc duties and projects as needed by Executive PA.
Create login credentials for new employees during induction and follow up on non-attendance.
Ensure completion of required learning paths, induction checklists, and initial assessments for new inductees within the first 6 weeks.
Notify and follow up with staff on training schedules and CPD forms.
Liaise with Department Managers and PDN regarding recruitment and documentation of Trainers, Volunteers, and Students.
Prepare training activity reports for management meetings.
Skills and Competencies: Excellent administration skills with great attention to detail Ability to follow procedures but also challenge the norm Highly organised and motivated with an ability to multi-task and prioritise workloads Proficiency in MS Office Suite, particularly MS Outlook & MS Word Strong communication and interpersonal skills combined with sound judgment are required to facilitate work with a wide range of individuals and groups Flexible attitude with a friendly can-do personality Requirements: Previous administrative experience in a similar role is preferred.
Ability to work across two locations and be adaptable in a dynamic environment.
