Job Description
Role Summary: We are seeking a highly skilled and experienced Legal Secretary to join our Real Estate Team in Dublin 2. The successful candidate will provide support and collaboration within the team, contribute to business and practice development activities, and work closely with finance teams to ensure fee earners' financial performance.
The Role: As a Legal Secretary, you will be responsible for working with all Finance teams to support fee earners' financial performance, including client billing and reports, management of matter balances and working capital. You will also raise POs, process expenses, perform conflict checks and client due diligence processes, and complete the Client Matter Inception (CMI) process accurately while adhering to Firmwide best practice protocols.
Your Key Responsibilities:
* Raise POs and process expenses
* Conflict check and Client Due Diligence processes
* Accurately complete the end-to-end Client Matter Inception (CMI) process
* Onboard clients, apply correct rates at opening, prepare engagement letters, and liaise with the Business Acceptance Unit as required
* Manage file closure, bill payments, clearing client balances, WIP, and archiving completed files
* Provide comprehensive diary management, forward planning, proactive travel and meeting arrangements, and identify meeting clashes
* Liaise with third-party travel organizers and recommend cost-efficient options for complex travel arrangements
* Action meeting requirements, prepare meeting packs, itineraries, room, and hospitality resources
* Attend team meetings, take minutes, and action audit queries from clients' accountants
* Support fee earners on organization and attendance of events and conferences, CRM administration, and production of and updating fee earner CVs
* Assist with bids, tenders, and pilots, provide back-up PA support to the wider PA team, and help organize core team and relationship meetings
You Will Thrive If: You have at least 3 years of Legal PA experience, excellent verbal and written communication skills, and a high degree of competence in using Microsoft Office suite. You should be a confident stakeholder manager with evidence of engaging with internal and external stakeholders, maintain efficient diary and task management across multiple tasks, remain calm under pressure, and be willing to work flexibly to meet client needs.
