Role Description:
At Venterra we are seeking an Executive Personal Assistant to join us on a 12-month fixed term contract to support our Chief Commercial & Growth Officer based in Dublin.
The Executive Personal Assistant is responsible for providing comprehensive administrative and personal support to the executive, ensuring the efficient operation of both professional and personal commitments. This role requires an individual who can manage a wide range of responsibilities with discretion, proactivity, and exceptional organisational skills. The role serves as a critical partner to the executive, acting as a gatekeeper, problem-solver, and coordinator for both internal and external engagements.
Key responsibilities:
EXECUTIVE SUPPORT
1. Manage the executive’s professional calendar, ensuring optimal scheduling of meetings, calls, and travel.
2. Serve as the first point of contact for all communications, filtering inquiries, and escalating matters as appropriate.
3. Draft, review, and format correspondence, reports, and presentations on behalf of the executive.
4. Track deadlines, commitments, and action items to ensure timely follow-through.
MEETING AND EVENT MANAGEMENT
1. Coordinate meetings, including preparation of agendas, materials, and follow-up documentation.
2. Take meeting minutes and ensure distribution of key takeaways and action points.
3. Organise and oversee the logistics for events, conferences, or key presentations involving the executive.
TRAVEL MANAGEMENT
1. Arrange domestic and international travel, including flights, accommodations, and itineraries.
2. Anticipate and resolve potential travel disruptions, ensuring contingency plans are in place.
3. Maintain a detailed record of travel expenses and manage reimbursements.
STAKEHOLDER ENGAGEMENT
1. Liaise with internal departments, clients, and external partners on behalf of the executive.
2. Foster and maintain strong relationships with stakeholders to ensure smooth communication.
3. Handle sensitive information and manage confidential interactions with utmost discretion.
ADMINISTRATIVE AND PROJECT MANAGEMENT
1. Support the executive in planning and monitoring specific projects, tracking deliverables, and ensuring completion within deadlines.
2. Conduct research and provide detailed briefs on topics or decisions required by the executive.
3. Develop and implement organizational systems to streamline administrative processes.
