Position Overview:
We are seeking a highly organized and proactive Office Administrator to join our team at Rose Travel, a leading provider of bus transportation services. The Office Administrator will play a pivotal role in ensuring the smooth operation of our office by managing administrative tasks, coordinating with staff and departments, and supporting sales efforts, including preparing quotations and responding to customer inquiries. The administrator will provide general support to management as needed, including reports, research, and project assistance. The administrator may, on occasion, need to drive a company vehicle for duties related to the business operations.
Administrative Support:
1. Support daily office operations, including filing, data entry, and correspondence.
2. Draft, proofread, and distribute internal and external communications.
3. Maintain and update records, databases, and schedules.
Sales Support and Quotations:
1. Prepare and process accurate and competitive quotations for customers.
2. Collaborate with the team to ensure timely responses to inquiries and follow-ups.
3. Assist in tracking leads, maintaining customer databases, and updating pricing information.
4. Communicate with customers to clarify service requirements and provide additional information as needed.
Scheduling and Coordination:
1. Coordinate staff schedules, meetings, and appointments.
2. Liaise with drivers, dispatchers, and management to ensure timely communication and efficient operations.
3. Assist in planning company events, training sessions, and workshops.
Customer Service:
1. Serve as the first point of contact for clients, vendors, and visitors, handling inquiries professionally.
2. Address customer concerns or direct them to the appropriate department.
Financial and Procurement Tasks:
1. Process invoices, manage petty cash, and track office expenses.
2. Order and maintain office supplies and equipment.
Compliance and Reporting:
1. Assist in ensuring compliance with company policies, safety regulations, and legal requirements.
2. Prepare and submit reports on office activities, expenses, and operations as needed.
Problem Solving and Office Maintenance:
1. Troubleshoot minor office issues, such as equipment malfunctions or supply shortages.
2. Maintain a clean, safe, and organized office environment.
Qualifications:
1. 1 year experience in a similar role is an advantage.
2. Proficiency in MS Office Suite (Word, Excel, Outlook) and office management software.
3. Excellent organizational and multitasking skills.
4. Strong written and verbal communication abilities.
5. Knowledge of transportation or logistics industries is a plus.
6. Car licence is an advantage, but not required.
