Job Title: Planning Support Specialist
Contract Duration: 9 Months
Estimated Salary: €32,000 - €35,000 per annum
Location: Little Island (Parking & Hybrid)
Hours of Work: 9am-5pm, 37.5 hours per week
About the Role:
We are seeking a highly motivated and tech-savvy Planning Support Specialist to join our team on an initial 9-month contract. In this role, you will provide administrative and coordination support for global meetings and events, ensuring seamless execution behind the scenes. You will be the key liaison between internal and external stakeholders, ensuring that all planning and logistical needs are met efficiently.
Key Responsibilities:
- Coordination: Act as the main point of contact between internal and external stakeholders for global meetings and events (200-800 attendees).
- Administrative Support: Maintain Excel files, take meeting minutes, and manage paperwork related to event logistics, visas, and compliance.
- Event Logistics: Plan and coordinate all background tasks to ensure smooth execution of meetings and events.
- Budget Assistance: Help manage study budgets, including setting up purchase orders and e-requisitions.
- Supply Management: Order, track, and ship events and study-related supplies.
- Tracking & Reporting: Monitor and report enrollment data for ongoing clinical studies, ensuring compliance with regulations.
- Regulatory Support: Assist in managing backroom processes for regulatory and mock inspections.
- Documentation: Support filing, archiving, and submission activities; help create and distribute project status reports.
Requirements:
- Strong administrative and organizational skills.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Project).
- Ability to work efficiently, improve processes, and suggest better ways of doing things.
- Good communication skills and a positive attitude.
- Experience in coordination, event logistics, and stakeholder management.
- Knowledge of SharePoint and internal communication platforms is a plus.
