A leading plc company is seeking to recruit a board support coordinator. This role will be based in the Dublin office and will help the Company Secretary and Board Secretarial Manager with day-to-day administrative tasks, logistical arrangements and any ad hoc requirements to support the plc board of directors. This role may suit a paralegal who is seeking an inhouse opportunity.
Key responsibilities:
* Support with coordination of all logistical duties attached to Board and Committee meetings, as well as other internal and external Non-Executive Director meetings. This includes (but is not limited to) scheduling and issuing diary invites, drafting Board calendars, booking travel, hotel, airport transfers, ground transportation, arranging visas if required, the booking and preparation of meeting rooms, coordination of any catering requirements, and ensuring that AV/tech is in place and working ahead of meetings.
* Supporting with organising the Annual General Meeting, including liaising with tech support and third parties on AV, sound and lighting, arranging catering, managing guest lists and registrations, and supporting with on the day duties.
* Coordinating all materials and briefing packs required for shareholder meetings and investor governance roadshows including liaising with key stakeholders.
* Support the Board Secretarial Manager with requests for Directors details and documents required for due diligence and licensing requests in various jurisdictions.
* Submitting Board and corporate expenses and liaising with the relevant stakeholders.
* Support with ad hoc projects as they arise.
As the board support coordinator, you must have excellent interpersonal skills, ability to meet tight deadlines, complete complex tasks quickly and react with appropriate urgency to situations that require a quick turnaround. Highly organised and very strong attention to detail with an excellent work ethic is required.
