Duties of the Housekeeper
The successful candidate will be responsible for the overall management and supervision of cleaning staff, including contract cleaning management personnel and other directly employed staff.
Cleaning Management
Schedule all cleaning rotas in line with timetables on an annual basis. Manage cleaning hours and associated costs. Carry out cleaning audits in line with Key Performance Indicators. Supervise and audit contractors in line with Service Level Agreements.
Advise contractors of any discrepancies, requirements or changes that may affect their schedules. Assign special duties to contractors as required. Co-operate, co-ordinate and communicate with department heads, as required.
Reporting and Record Keeping
Report via the Estates Maintenance system all defects pertaining to Estates. Inform other operating departments of housekeeping matters which affect them. Ensure all cleaning staff comply with Health and Safety regulations.
Special Duties
Plan and co-ordinate a regular deep clean programme to be completed during the summer months. Procure and supervise window and high-level cleaning. Inspect reception areas, corridors, classrooms, boardrooms, lifts & toilets each morning and periodically during the day to ensure they have been cleaned, presented and supplied to the standards set out.
Waste Management
Co-ordinate the removal of waste and assist in the implementation of recycling policies. Report to Statutory bodies in relation to compliance with all waste regulations on an annual basis. Be actively involved in recycling and environmental matters with respect to waste, utilities and cleaning materials.
Other Duties
Procure and supervise the secure shredding contractor and the waste material involved. Procure and supervise the pest control contractor to ensure compliance with tender specifications. Procure and supervise door mat supplier to ensure continuance and regularity of supply. Supervise and procure the tropical plant supplier to ensure conformity with tender specification. Report to appropriate department anything which is or maybe considered a Health & Safety Hazard.
Assist in the organisation of special events within the Institute, e.g., conferring, conferences. Supervise and procure the Sanitary Bin Collection Service. Participate in the preparation of the housekeeping budget for the Institute. Write tenders and engage with the Office of Government Procurement. Control and analyse on an ongoing basis, housekeeping costs to ensure performance against budget. Report in writing any accidents which may occur to contractual staff or direct cleaning.
