A Senior Administrator in an engineering firm plays a vital role in overseeing administrative functions, ensuring efficient project execution, and supporting both technical and management teams. Their key responsibilities include:
* Office & Operations Management
- Managing daily administrative tasks to ensure smooth office operations.
- Handling procurement of office supplies, equipment, and engineering tools.
- Ensuring compliance with company policies, safety regulations, and industry standards.
* Project & Technical Support
- Coordinating and maintaining engineering project documentation, including contracts, permits, and compliance records.
- Assisting project managers with scheduling, resource allocation, and reporting.
- Ensuring deadlines are met by tracking progress and facilitating communication between teams.
* Financial & Budget Administration
- Supporting budget preparation, expense monitoring, and financial reporting.
- Processing invoices, purchase orders, and vendor payments related to engineering projects.
- Working with finance teams to manage cost control and project funding.
* Human Resources & Staff Coordination
- Assisting with recruitment, onboarding, and training of engineers and technical staff.
- Maintaining employee records, certifications, and compliance with safety and HR policies.
- Ensuring adherence to workplace health and safety (HSE) guidelines and training programs.
* Communication & Client Liaison
- Serving as a point of contact between engineers, clients, contractors, and stakeholders.
- Preparing and reviewing reports, proposals, and engineering-related correspondence.
- Managing client inquiries and ensuring smooth communication flow across projects.
* IT & Document Control
- Overseeing document management systems for engineering drawings, blueprints, and technical reports.
- Ensuring secure handling of confidential company and project information.
- Supporting engineers with software tools, databases, and project tracking systems.
