Job Description
The Reporting Assistant will maintain, and coordinate progress and other reports as directed by the Head of Procurement Operations, ensuring they meet Project Controls reporting requirements. The role acts as the first point of contact for procurement and commercial directorate reporting requirements. This role works closely with various teams, including Policy and Assurance Leads, Sustainable Procurement, and Procurement Operations, to prepare and distribute reports. Oversees the coordination of reports with Project Controls within the reporting cycle. Liaise with Procurement team members and other project functions to gather relevant information and assist with document management duties as directed by the Head of Procurement Operations. Provide accurate and timely information to the leadership and Project Controls teams via monthly procurement progress reports.
* Act as first point of contact for procurement and commercial directorate reporting requirements.
* Work closely with the Commercial Directorate Team, and other functions as directed in preparing and distributing reports.
* Oversee the reporting schedule and co-ordination of reports with Project Controls and Performance Team within the reporting cycle.
* Co-operate and liaise with the Commercial Directorate Team, and other project functions as directed to gather relevant reporting information.
* Assist the Commercial Directorate Team, with document management duties as directed by the Head of Procurement Operations.
* Provide accurate and timely updates to the leadership and Project Controls and Performance Team via monthly procurement progress reports.
* Take necessary care to properly protect the confidentiality, integrity and availability of corporate information from unauthorised disclosure, modification or destruction. Never knowingly put client information or information systems at risk.
* Take reasonable care of your own and others’ health and safety and of those who may be affected in the day-to-day delivery of this role by taking personal responsibility for working to the commissions Target Zero principles.
* Co-operate with commission in all matters relating to health and safety, following client safe working procedures at all times.
* Act as a role model for the projects vision and values, behaving in ways that are in alignment with the projects Ways of Working. Encourage and support others to do so too.
* Promote equality in the workplace and adopt appropriate behaviour when interacting with colleagues.
Qualifications
* Minimum Leaving Cert or GCSE/ at grade C in English and Maths.
* A degree in engineering, construction, business or a related subject matter or equivalent experience is preferred but not essential.
* Working towards a professional qualification such as Chartered Institute of Procurement & Supply (CIPS), Royal Institute of Chartered Surveyors (RICS), Chartered Institute of Builders (CIOB) or relevant equivalent preferred but not essential.
Experience
* Experience of working to tight deadlines and producing accurate work.
* Experience of using a document management system would be an advantage.
* Experience of reporting processes within procurement and contract management functions in a range of complex high-profile construction, engineering and service-oriented areas and in a demanding safety critical environment.
* Experience of producing client procurement reports within public and private sector procurement and constraints, with an understanding of business and procurement management systems.
* Experience of relationship management across a broad range of individuals across all levels.
Skills
* Competent in Microsoft Office and have experience with document systems.
* Strong ability to write, document, and maintain technical standards, guidelines, and workflows.
* Strong attention to detail and accuracy.
* Excellent verbal and written communication skills to facilitate clear and consistent dialogue between all parties involved.
* Ability to work effectively in a team environment.
* Ability to co-ordinate and communicate important information across team.
* Ability to develop long term relationships with all team members.
* Ability to work in a collaborative manner that is positive, open, transparent and is a clear and effective communicator.
