Job Description
This role is a Medical Affairs Operations Specialist position in partnership with Pfizer, seeking to join their team at the Dublin, Ringsend office for an 18-month fixed-term contract. The hybrid working model is attached to this role.
Role Purpose
The Medical Affairs Operations Specialist will provide dedicated administrative and project management support to the Country Medical Director and the broader Medical Affairs team. This person will work with the medical organization and the commercial business as a liaison and act as the coordinator for all medical administrative support.
Main Responsibilities
* Perform administrative duties for the Medical Department, including correspondence, collating reports of project metrics, organization of meetings, financial support and management (invoicing, POs (Purchase Orders), Vendor Maintenance etc.), in compliance with relevant SOPs (Standard Operating Procedure), work instructions, and local legal requirements.
* Support the planning, tracking, and fulfillment of the Medical Departments' budget.
* Collaborate with the medical affairs team to design, develop, and execute medical projects from initiation to close, including scoping project requirements and preparation of budget.
* Maintain a common filing and archive system for medical purposes and regularly clean up files and archives.
* Develop and maintain a network with other Medical Affairs Operations colleagues as well as with commercial operations colleagues in-country and regularly exchange best practices and identify areas that could be made more efficient.
* Support for PHI company-wide events.
* Support and implement changes and new ways of working with both internal and external processes.
* Coordinate the onboarding of new employees and their training schedule.
* Maintain org. charts, rosters of colleagues, DLs, and MS Teams sites.
* Supports medical team in the design, development, and delivery of complex digital projects from initiation to close.
* Be client-focused and understand the role of medical affairs, purpose, structure, and strategic goals.
* Dedicated administrative support to the Country Medical Director (CMD) in all aspects of their daily work routine and enables the timely execution of their tasks.
* Management of meeting agendas and minutes for medical meetings.
* Identify, prepare, and compile necessary materials ahead of time to ensure that the CMD has appropriate information for meetings, reports, presentations, events, and special projects on calendar.
* First draft of scientific communications and presentations.
* Responsible to coordinate all medical affairs communications in country.
* Work closely with the local medical team on day-to-day business aspects from an administrative point of view.
Required Skill Set
* Qualifications: Five to ten years of experience providing support for Senior Management/Teams or graduate with a scientific or medical background, interested in the area of medical affairs.
* Experience working in the Pharmaceutical Industry is desirable.
* High degree of cross-functional collaboration essential.
* Hands-on approach, the successful candidate will effectively suggest, drive, and challenge new ideas/initiatives.
* Strong people interaction and relationship-building skills to engage effectively both internally and externally if required.
* A logical and pragmatic approach to workload, delivering the best possible results with the resources available.
