PROJECT COORDINATOR – MARKETING OPERATIONS
My client is a leader in diagnostic technology, providing life-changing tests and tools that drive accurate, fast decision-making in healthcare. Their innovative solutions support hospitals, labs, clinics, and healthcare providers worldwide.
The Marketing Operations division within Global Strategic Marketing Solutions drives marketing excellence by managing the operational framework for global project alignment, digital marketing initiatives, lead automation, and brand/event management. Reporting to the Project Manager, Marketing Operations, the Digital Marketing Project Coordinator will facilitate project setup, support execution, and ensure the successful completion of marketing activities aligned with business priorities, annual plans, and ad hoc initiatives.
RESPONSIBILITIES:
1. Serve as the primary point of contact for project intake by facilitating communication between team members, stakeholders, and leaders.
2. Independently develop and maintain detailed project plans, outlining tasks, timelines, and dependencies, and work alongside the Project Manager on strategic initiatives, as assigned.
3. Drive communication and project requests between IT and business requesters to successfully deliver program, enhancement, or material launch.
4. Proactively monitor, manage, and make necessary adjustments to project plans based on fluctuating program details.
5. Collaborate closely with clients, authors, designers, content creators, and technical resources to manage end-to-end digital marketing projects, ensuring timely and successful delivery.
6. Conduct thorough quality checks on deliverables to ensure business requirements are met and resolve any issues or discrepancies in deliverables.
7. Utilize Workfront project management software to traffic projects through to successful completion.
8. Support the governance, management, and quality of assets by understanding the MLR ad/promo approval processes and ensuring adherence to process/policies for the go-live of digital marketing materials.
9. Participate directly in digital marketing project meetings and independently provide timely updates, transcribe actions, and follow up with teams to deliver against project timelines.
10. Collaborate with the project team(s) to measure the speed and quality of delivered activities and identify/recommend areas for improvement.
11. Negotiate between resources and stakeholders to find the optimal program timeline flexing between agile and waterfall project plans.
REQUIREMENTS:
1. Bachelor’s degree in marketing, Communications, Project Management, or equivalent work experience.
2. Minimum 4 years of proven experience in project coordination or project management in a digital marketing environment.
3. Proficient in Microsoft tools (Word, PowerPoint, Excel, Outlook and Teams) on a PC.
4. Working knowledge of Workfront Project Management System.
5. Strong organizational skills and ability to manage multiple high-quality projects simultaneously.
6. Excellent written, verbal, and presentation communication skills.
7. Understand digital marketing projects and platforms (e.g., email marketing, SEO, PPC, CMS & website management).
8. Demonstrated ability to meet deadlines and work under pressure on 30+ projects simultaneously in a fast-paced environment.
9. Capacity to work with diverse global teams through various channels including in-person, video, and conference calls.
10. Ability to work effectively both independently and as part of a team.
11. Working knowledge of AEM (Adobe Experience Manager), Creative Cloud, ActOn, Photoshop, Digital advertising and social media platforms, and Salesforce.
