Office Administrator (Sales, Lettings, Property Management & Maintenance)
HJ Byrne Estate Agents is expanding and seeking a motivated Property Management Administrator to join the team in our Phibsborough branch.
We are a well-established real estate agency with over 167 years of experience. Our business has been built on providing a consistently high-quality professional service to all of our clients.
As an Office Administrator, you will be responsible for providing exceptional support to our sales and lettings teams, while maintaining accurate records and communicating effectively with landlords, tenants, and contractors.
Key Responsibilities:
* General office administration
* Supporting sales and lettings agents
* Using CRM system and marketing tools
* Drafting advertisements for sales and lettings
* Ensuring full payment of rents and following up with tenants in arrears
* Drafting contract documentation and letters of entry
* Compiling leases and transferring utilities
* Dealing with tenant queries and requests
* Arranging maintenance and repairs
* Providing tenancy management functions
* Coordinating tenant move ins and outs
* Keeping records updated and filed appropriately
Requirements:
* Exceptional organizational skills and a 'can do' attitude
* Strong customer-oriented skill set
* Ability to problem solve and negotiate
* Excellent telephone manner and communication skills
* Fluency in written and oral English
* Proficiency in Microsoft Office, including MS Word and Excel
* Ability to build long-term relationships with landlords, tenants, and contractors
* Good eye for detail and ability to work to deadlines
Working Hours: Monday to Friday, 9:00 – 17:30
Work Location: Dublin City Centre
