Job Overview
This role involves a unique blend of bookkeeping, administrative support, and client-facing responsibilities. As a Practice Office Manager, you will be responsible for ensuring the smooth day-to-day operations of our office.
Key Responsibilities (70% of the role)
* Manage VAT and Payroll processing deadlines to ensure timely completion.
* Oversee the educational and training needs of bookkeeping and administrative staff, reporting to management as necessary.
* Provide general supporting activities to enable employees to work comfortably.
* Liaise with staff and clients regarding information flow and documentation between clients and staff, meeting client expectations.
* Collaborate with directors to maintain client relationships and manage expectations.
* Implement and maintain office administrative systems and procedures.
* Onboard new clients, including company formation, tax registration, and setup on our practice management system.
* Present information and procedures to improve office efficiency during team meetings.
* Assist staff with IT needs through our external IT providers.
* Report staff matters to management with suggested solutions.
Key Responsibilities (30% of the role)
* Manage a small portfolio of bookkeeping clients.
* Prepare and review multiple VAT Returns.
* Perform bank reconciliations, process sales and purchase invoices, and file returns on ROS.
The Ideal Candidate
We are seeking an experienced and qualified individual with the following characteristics:
* IATI or similar qualification.
* 5+ years of bookkeeping experience in practice.
* Ideally 2+ years of experience in a similar role as a Practice office manager.
* Experience with Accounting software such as Xero, Quickbooks, and Dext is preferable.
* Solid understanding of bookkeeping principles.
* Ability to work independently and as part of a team.
* Strong attention to detail and organisational skills.
