We are looking for a highly organized Travel Logistics Coordinator to join our dynamic reservations team. In this role, you will be responsible for planning and coordinating travel and tour logistics, managing client inquiries, and ensuring a seamless booking process from start to finish.

Key Responsibilities
* Support the Reservations Team in planning and coordinating travel logistics, ensuring top-tier service.
* Respond to client enquiries, provide quotations, and confirm bookings via phone and email professionally and efficiently.
* Maintain accurate records of bookings, including reference numbers, dates, and any special requests.
* Ensure all reservations adhere to client preferences, budgets, and specific requirements (e.g., dietary needs, accessibility).
* Liaise with corporate clients, event organizers, and travel agents to manage group bookings or VIP transfers.
* Build and maintain strong relationships with suppliers and key partners to uphold service quality.
* Confirm and accurately enter all tour and transport bookings into the system promptly.
* Monitor tours and transfer schedules, addressing any operational challenges and escalating issues when necessary.
* Communicate with drivers regarding tour and transfer assignments.
* Coordinate with the Transport Manager to ensure fleet availability, maintenance, and cleanliness align with operational demands.
* Liaise with accounts on payment schedules and invoicing.
* Work under pressure to resolve time-sensitive challenges while maintaining professionalism and customer satisfaction.
* Handle modifications and amendments to bookings as required.
* Assist with adopting and optimizing new software tools for enquiries, reservations, and booking confirmations.
* Support the Travel Experience Team during high-demand periods with administrative tasks related to client bookings.
* Perform any ad-hoc duties as assigned by Management.
Required Skills & Experience
* Previous experience in reservations, travel coordination, or customer service.
* Strong organizational skills and attention to detail.
* Excellent verbal and written communication skills.
* Ability to multitask and work under pressure in a fast-paced environment.
* Proficiency in Microsoft Office and booking/reservation systems.
* Strong problem-solving abilities and customer-oriented mindset.
* Ability to work independently as well as part of a team.
Preferred Skills
* Experience in the travel, hospitality, or tourism industry.
* Knowledge of booking and reservation management software.
* Familiarity with corporate travel, VIP services, or event logistics.
