We currently have a business coordinator position available for the qualified candidate. This position pays $17-$19 per hour.
Position Summary
Provide support functions to various departments within GFS including, but not limited to, general office duties and project work as assigned by Supervisor.
Principal Responsibilities/Accountabilities
1. Answers phones and performs receptionist duties as necessary.
2. Inputs invoices and documents as required.
3. Triages calls between intra company departments.
4. Assembles and processes overnight shipments to satellite locations, customers, vendors, etc.
5. Creates and modifies documents using Microsoft Office, Sage Timberline, and other company software.
6. Creates and maintains hard copy and electronic filing system.
7. Meets, greets triage clients and/or department visitors.
8. Coordinates and maintains records for various intra company departments as required.
9. Sets-up and coordinates meetings and conferences.
10. Supports staff in assigned project based work.
11. Provides support to the Payroll, HR, Billing, and any other company departments as required.
12. Sets-up accommodation and entertainment arrangements when requested.
13. Performs general office duties such as mailing, filing, scanning, and copying.
14. Receives, directs and relays telephone messages including but not limited to, fax messages, emails, etc.
15. Directs company visitors to the appropriate GFS employee.
16. Picks up and delivers regular and interoffice mail.
17. Researches, prices, purchases office supplies and maintains the general filing system and files all correspondence.
18. Assists in the planning and preparation of meetings, conferences and conference telephone calls.
19. Maintains an adequate inventory of office supplies.
20. Re-directs calls as appropriate and takes adequate messages when required.
21. Performs other duties as assigned.
Knowledge/Skills/Abilities
1. Excellent communication skills and the ability to work successfully with a wide variety of people at different levels within the organization.
2. Working knowledge of Oil and Gas Industry.
3. Ability to keep company proprietary information confidential.
4. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
5. Ability to write routine reports and correspondence.
6. Strong computer skills (Microsoft Office Suite) and above average math skills.
7. Detail oriented with strong organizational skills.
Specific Educational / Vocational Requirements
1. Associate or Bachelor’s Degree helpful but not required.
2. Minimum of two years of relevant experience.
Environment
Work primarily in a climate controlled environment with minimal safety/health hazard potential. Sedentary, sitting, walking, occasional lifting (overhead, waist level) from floor, bending, frequent near vision use for reading and computer use; frequent stressful conditions (cardiovascular).
