Administration Officer – Estates Department
St. Michael’s House provides a comprehensive range of services and supports to men, women, and children with disabilities, and their families in over 200 locations in the greater Dublin Area. It supports c. 2,300 people and this has an impact on thousands of family members.
Vacancy: Administration Officer in the Estates Directorate.
Grade: Grade IV Clerical Officer - (HSE Payscales) €35,256 to €54,370 (LSL).
Contract: Permanent.
Role:
The Estates Directorate has responsibility for over 200 buildings across Co. Dublin.
Within the Estates Directorate, are the technical services and maintenance department, the transport Department who provide fleet management services across the Organisation, the housing, energy, and fire safety departments.
The successful candidate will join a team of over 50 people, including the management team, maintenance crews, transport and housing officers, Drivers, Escorts, and other administration staff.
Duties and responsibilities would include:
1. Work alongside team members to provide a high quality and efficient administrative support to the technical services and estates teams.
2. Provide administrative support for purchasing of materials and services, record keeping, processing of invoices to accounts.
3. Assist with the management and tracking of events on our facilities management software program.
4. Support the Estates Management team with other functions, including departmental returns, filing and data collation. Including assisting with implementing a paper-less system of filing into the future.
5. Review and improve procedures where appropriate, relating to administrative tasks (e.g., filing, invoice tracking and processing) and work with other directorates as required (e.g., finance, HR) towards process improvements.
6. Attend meetings of the Estates Management Team and take minutes of these meetings.
Requirements
Qualification / Skills / Essential Criteria:
1. 2 years working in an administrative role.
2. Proficient in Microsoft Office 365 programs (Word, Excel etc.).
3. Can demonstrate experience in administration functions such as processing invoices for accounts department, placement of purchase orders, managing and recording annual leave, sick leave, expenses. Updating registers, asset management.
