As an Office Administrator you will play a key role in supporting our Customer Service department. You will primarily be responsible for administrative tasks, along with streamlining business processes and contributing to continuous improvement.
Key elements of the role
Responsibilities shall include but are not limited to the following:
1. Coordinate and manage travel bookings for the customer service team, ensuring all logistics are handled efficiently.
2. Track and manage employee attendance records, ensuring accuracy and compliance with company policies.
3. Prepare and distribute regular reports, including performance metrics, attendance summaries, and other departmental updates.
4. Provide day-to-day administrative assistance to the customer service team, including scheduling meetings, organising documents, and handling correspondence.
5. Invoicing customers following completion of service orders and maintaining account balances.
6. Contribute to continuous improvement and enhancing the customer experience.
Qualifications, experience & competencies
Qualifications & experience
1. NFQ level 5 office administration and/or suitable work experience in a similar role.
2. Proficient with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.).
3. Prior experience in a customer-focused environment is an advantage.
4. Experience working with an ERP system is an advantage, e.g., SAP, Infor.
5. Planning and organising skills.
6. Strong verbal and written communication skills to effectively collaborate and interact with team members, management, and customers.
7. Customer-oriented.
8. Ability to multitask and prioritize.
9. Flexibility to self-learn and improve.
10. Have a careful, conscientious, and methodical approach.
