Administration Manager
Contract Duration/Type: Specified Purpose (12 Months)
Location: Kilkenny
Hybrid/Onsite: Hybrid
Working Pattern: 8:30am to 17:30pm Monday to Friday
The successful candidate will lead a team of administrators in completing administrative tasks across various departments.
They will efficiently manage day-to-day operations ensuring smooth running of administrative procedures.
The duties of this role include:
* Planning, coordinating, and managing all administrative procedures and systems.
* Ensuring the smooth and adequate flow of information within the company.
* Managing schedules and deadlines.
* Continuously reviewing and improving processes to ensure work is completed as efficiently as possible.
* Keeping abreast of all organisational changes and business developments.
* Playing an integral, proactive, and functional part in Sales, Design, Project, Site, Contract, and Engineering Teams.
* Tender/Sales Process – assisting Business Director and Tender Manager with costing, commercial, and non-technical aspects of the tender process.
* Responsible for tracking sales opportunities and pre-quals/tenders within Veolia through maintenance of a log file and/or customer relations management system.
* Assisting Business Director with Investco, Go/No Go, and Pipeline maintenance in accordance with Veolia policies.
* Development of good working relationships with departments within Veolia to integrate all aspects of project design/execution into tender management.
* Assistance with development of O&M Manuals and contract administration.
* Assisting department manager(s) with the set-up and maintenance of routine business reporting.
* Engineering & Project – collaborating with Veolia UK for fleet management in Ireland.
* Responsibility for Veolia On-boarding procedure for all new employees.
* Monthly Management reporting.
* Administration support for Project Managers.
* Undertaking raising purchase orders, receipting of goods, invoice queries.
* Processing Workday queries.
* Document Control for various Projects.
* Commercial Management – development and understanding of the marketplace for Veolia offered services and development of a network of contacts both internal and external to the company.
* Assist Business Director with general Mar-comms duties as required.
* Assist with placement of orders and administration of the financial and accounting systems.
Required Skills:
* 2+ years of experience in an Admin role with appropriate and equivalent experience.
* A Bachelor's degree in a relevant field may be preferred.
* A very good understanding of office management processes.
* Experience with financial and facilities management principles.
* Proficient in Workday (advantage but not requirement).
* Proficient in MS Office / Google.
* Critical thinker and problem-solving skills.
* Team player.
* Good time-management skills.
* Great interpersonal and communication skills.
