Opportunity:
We are seeking a detail-oriented and highly organized Bookkeeper / Office Admin person to oversee key operational, compliance, and administrative tasks within our nursery operations. This role involves managing records, coordinating quality control processes, supporting HR functions, and liaising with external stakeholders to ensure smooth day-to-day operations.
The ideal candidate will have strong administrative skills, the ability to multitask, and excellent communication to interact with internal teams, suppliers, and regulatory bodies.
Responsibilities:
CRM & Compliance Management
* Maintain and update CRM records, ensuring all chemical and fertilizer purchases are logged accurately.
* Collect and upload gas, oil, and electricity usage data to CRM monthly.
* Retrieve and process spray records from relevant team members for CRM submissions.
* Scan and organize invoices for purchases related to CRM.
Insertion & Plant Records Management
* Process delivery notes for incoming plants and generate necessary labels.
* Track plant insertions, updating records with batch numbers, counts, and readiness dates.
* Ensure accurate tracking of divisions and cuttings in propagation sheets.
HR & Employee Records (Bright HR & Blip App)
* Maintain employee absence records, ensuring HR systems are up to date.
* Generate and share reports as needed.
* Monitor clock-ins and clock-outs using the Blip app.
* Set up new employees in Bright HR and manage TOIL (Time Off in Lieu) approvals.
* Conduct employee inductions and maintain induction materials.
Quality Control & Reporting
* Scan and archive QC reports, ensuring hard copies and digital records are updated.
* Coordinate the distribution of QC, intermediate, and weaning reports, including sending supplier reports with supporting pictures.
* Monitor plant survival rates and request credits if survival rates drop below 90%.
* Track and follow up on credit requests with suppliers and internal teams.
Logistics & Order Processing (Backup for Primary Coordinator)
* Generate and print plant passports via the system.
* Manage paperwork for orders, including CMR forms, delivery notes, temperature stickers, and invoices.
* Book transport, update final counts, and arrange trolley pickups.
* Calculate delivery weights for trollies, shelves, and trays.
* Maintain movement sheets for order tracking.
External Liaison & Coordination
* Act as the primary point of contact for:
* Peninsula – HR-related queries.
* BITS – IT and technical support.
* Greenfield (Growmaster) – System-related issues.
* Bord Bia MAPS Grant & Quality Assurance Scheme – Compliance tracking.
* Others
Administrative & Financial Support
* Keep the nursery operation time management sheet updated, tracking hours and arrivals.
* Raise and track purchase orders for supplies and plant orders.
* Maintain cost reports, extracting data from the system and sending figures for review.
* Track and report KPI data for FRS teams.
* Ensure stock levels for essential supplies (e.g., gloves, blue roll) are maintained.
Candidate Requirements:
* Strong administrative and data management skills – Experience handling reports, logs, and compliance records.
* Familiarity with agricultural/nursery operations (preferred but not essential).
* HR system experience (Bright HR, Blip app, or similar HR software).
* Excellent communication and coordination skills – Comfortable liaising with suppliers, employees, and external bodies.
* Attention to detail & problem-solving skills – Ability to spot discrepancies and ensure accuracy in reports.
* IT proficiency – Experience with systems like Growmaster, MPS, and logistics portals.
Remuneration:
As an indication salary would be €30,000-€38,000 PA (depending on experience), and the finer details will be discussed with the successful candidate.
