HR ADMINISTRATION OFFICER - MISSION
* Supporting HR Officer
* Reporting to HR OFFICER INDITEX IRELAND
Payroll/Administration
* Issuing of New Starters contracts and performing the associated Right to Work Checks.
* Instore Technology use to Validate - Employee Personal Detail and Employment Changes.
* Daily Control – Hours and Absences confirmation by deadlines.
* Maternity entitlement checks and associated communication to employees.
* Dealing with Payroll enquiries.
* Contract Amendments.
Employee Relations
* Support with HR Case Management and produce ER reports as and when required.
* Update and maintain an ER Tracker.
* Provide full HR administrative support to HR Officer and HR Regional teams.
* Provide HR (including Irish employment law) advice/guidance to store teams, ensuring full compliance with Company Policies & Procedures.
* Actively support the HR function by managing all family-friendly processes, Immigration, Probation, Sickness management, and fixed-term contract process for store employees across the brands.
* Act as Company note taker, when required.
* Handle resignation confirmations and provide employment references for current and ex-employees and deal with external requests from agencies.
* Monitor the immigration and leaver process, and provide updates to HR Officer where required.
* Manage employee files and leaver files.
* Manage business Driver process.
H&S
* Ensure compliance and follow up in regards to the H&S policy and procedures.
* Collaborate with H&S Department and regional HR teams to guarantee the correct application of the Occupational H&S Management System.
* Support HR officer with the implementation of H&S initiatives and projects.
List is not exhaustive, and you may be required to complete other duties within the HR Department.
Skills
* Previous experience in HR in fashion retail would be an advantage.
* General knowledge of HR practices, procedures, and Irish Employment Law legislation.
* Strong analytical and organizational skills with a keen eye for attention to detail.
* Proficient administrative skills and drafting formal communications.
* Strong communication skills with the ability to influence and advise senior management teams.
* Proficient in the use of MS 365 software, including Word and Excel.
