HR Project Specialist Location: Vision Ireland Head Office, Whitworth Road, Drumcondra Contract type: 6 months, full time Working hours: Full time 37 hours per week 9am - 5pm Monday to Friday Closing date: 4th February 2025 Position Summary: Vision Ireland are seeking an experienced and dynamic HR Project specialist to provide strategic, organised, and timely support to the Chief People Officer (CPO), Recruitment Business Partner and wider team.
The HR Project Specialist will ensure smooth execution of tasks such as recruitment administration, scheduling, record keeping, general HR duties and will manage minutes and attend meetings to ensure minutes are recorded accurately.
Coordination is key to this role with the successful candidate able to manage numerous ongoing projects in addition to administration relating to pension auto enrolment, staff conference, and administration connected to recruitment.

Key Responsibilities Administration, scheduling & coordination: Preparing and coordinating reports, presentations, and meeting documentation.
Managing schedules, meetings, and office operations to ensure seamless functionality.
Recruitment Administration: Strategically oversee recruitment administration and scheduling, ensuring efficient and compliant processes.
HR Project Management: Lead or support HR initiatives, such as employee engagement programs and diversity and inclusion projects.
Coordinate across teams, track milestones, and communicate progress on all initiatives introduced.
Information Technology: Oversee the employee sharepoint, ensuring timely updates, system enhancements, and design improvements.
Management and coordination of employee internal communications Maintain and manage the staff directory and other IT-related HR systems.
Conference & Event Coordination: Contribute to the planning, organising and scheduling of staff conferences, events, and other HR-led initiatives to enhance organizational engagement and communication.
What We're Looking For Qualifications: Minimum diploma level in Human Resources, Business Administration, or related field Experience: Minimum 3-5 years of proven experience providing executive-level support to C-suite leaders.
Demonstrated expertise in managing projects, events, and large, multi-functional meetings within a complex stakeholder environment.
A strong track record of managing competing priorities in a fast-paced, demanding environment.
Experience making informed, independent decisions, including process improvements, initiating collaborations, launching new initiatives, and adapting project plans as needed.
Confident, assertive, and trustworthy, with a high level of integrity and professionalism.
Demonstrated ability to handle highly sensitive and confidential information with discretion.
Exceptional organizational skills, attention to detail, and ability to multitask efficiently.
