We are looking for a Senior Office Admin to join the Machinery section of our business at Ballydooley, Roscommon.
This is a permanent, full-time position but flexi-time is also considered.
The Administrator will be responsible for assisting the effective management of the machinery business, offering assistance to members of the sales & operation teams and taking on relevant administration duties as and when required.
The administrator will be heavily involved in assisting our financial controller to produce monthly accounts.
The Role:
1. Processing of supplier & customer invoices
2. Accounts payable and receivable
3. Payroll
4. Bank reconciliation
5. Stock control
6. Maintenance and upkeep of contracts of employment for all staff
7. Creating purchase orders and dealing with supplier orders / queries
8. Amending purchase orders to match invoices, ensuring invoices are against the correct jobs for approval
9. Carrying out general office duties (i.e., filing, completing excel sheets)
10. Filtering through incoming e-mails and distributing to the correct party / department
11. Use and upkeep of our internal accountancy package and being able to run / print reports for different jobs / departments
12. Monthly accounts
13. Receipt dockets / invoices for goods in and out
14. Assisting with management of maintenance documentation for vehicles and plant
15. Providing support and cover to team members as required
16. Assist in administrative duties as and when required
Who are we looking for?
1. Minimum of 5 years' experience in a similar role
2. Experience in but not limited to Purchasing Department, Accounts Payable, Plant Hire or similar trade would be a distinct advantage
3. Strong grasp of accountancy practices in a small business would be a distinct advantage
4. Excellent verbal and written communication skills required
5. Ability to work independently as well as within a team environment
6. Ability to work in a fast-paced, deadline-oriented environment
7. Strong organisational skills
8. Strong attention to detail
9. High level sense of urgency with ability to prioritize workload
10. Must be a highly motivated, professional, and enthusiastic individual
11. Strong Microsoft Office skills - Excel, Word, Teams, Outlook plus experience working with accountancy packages
