Job Summary:
The Assistant Facilities Manager plays a crucial role in ensuring the efficient operation of Griffith College and Griffith Halls of Residence, serving a vibrant community of 7,000 students, 664 residents, and 20 buildings. We are seeking a proactive, solutions-driven individual who can navigate various operational challenges while maintaining high service standards across all campus facilities. This position encompasses year-round management and oversight of facilities operations.
Job Responsibilities:
Staff & Team Management
Assist the Facilities Manager in overseeing the Maintenance, Housekeeping, and Security teams.
Supervise and mentor staff to ensure effective performance and professional development.
Coordinate the deployment of personnel and resources to meet the operational needs of the College.
Oversee the work of external contractors, ensuring compliance with safety regulations and College standards.
Act as a point of escalation for operational issues within the facilities teams.
Facilities & Operational Oversight
Manage and oversee daily operations across all buildings, ensuring proper maintenance and operation of essential services throughout the year.
Collaborate with the Facilities Manager to consolidate and optimise maintenance, housekeeping, and security functions.
Ensure all facilities-related services align with the College’s strategic objectives and are delivered efficiently.
Monitor and manage facilities infrastructure, life safety systems, utilities, and space allocation.
Planned & Reactive Maintenance
Oversee the scheduling and execution of preventive and reactive maintenance across all campuses.
Ensure compliance with all statutory maintenance requirements, including fire safety, emergency lighting, and life safety systems.
Document and resolve maintenance requests and work orders in a timely manner.
Contractor & Vendor Management
Supervise external contractors to ensure adherence to safety protocols and College procedures.
Schedule and coordinate contractor work to minimise disruption to campus activities.
Follow up on planned maintenance to ensure timely completion of required works.
Health & Safety Compliance
Assist in implementing and maintaining Health & Safety protocols across all campuses.
Conduct regular risk assessments to identify and mitigate potential hazards.
Actively participate in the Critical Incident Team, ensuring preparedness for emergency situations.
Ensure a safe and compliant environment for staff, learners, residents and visitors.
Helpdesk & Event Support
Manage the facilities Helpdesk, ensuring maintenance and housekeeping requests are handled efficiently.
Support the College events team by coordinating event setup and logistical support.
Ensure all facilities-related requests are documented, prioritised, and completed promptly.
General Duties
Participate in weekly meetings with key stakeholders to foster strong interdepartmental collaboration.
Take on additional responsibilities as required to support the College’s evolving needs.
Perform any other reasonable duties as assigned by the Facilities Manager.
Essential Qualifications & Key Competencies
Proven experience in facilities management, property management, or a related field is preferred; however, candidates with transferable skills from other sectors such as hospitality or operations management are encouraged to apply.
Strong leadership abilities with experience managing teams in a dynamic, multi-campus environment.
Exceptional problem-solving skills and a proactive approach to operational challenges.
Comprehensive knowledge of building regulations, fire safety, health & safety legislation, and compliance requirements.
Proficiency in contractor management and maintenance scheduling.
High level of communication and interpersonal skills, capable of collaborating with internal and external stakeholders.
Knowledge of sustainability and energy management best practices is an advantage.
