Overview of role:
UPMC Aut Even Hospital are recruiting a Pre-Assessment Scheduler. This is a full-time, permanent position. The Pre-Assessment Scheduler plays a key role in the hospital’s Access to Care function by coordinating pre-operative assessments for patients across multiple surgical specialties. This role ensures patients are scheduled appropriately with clear communication to include patients, consultants, and internal teams. The Scheduler is essential to supporting patient flow and maintaining a high-quality patient experience from referral to admission.
Primary Duties and Responsibilities:
* Patient Scheduling: Accurately schedule patients for pre-assessment and surgery in accordance with hospital booking policies, prioritising based on clinical urgency as determined by the medical team.
* Insurance & Financials: Validate insurance, calculate excess/co-pay/shortfall or self-pay amounts, and communicate payment requirements to patients clearly and professionally.
* Stakeholder Liaison: Work collaboratively with consultants, medical secretaries, the PAC clinical team, admissions, and other hospital departments to ensure complete and timely patient bookings.
* Patient Communication: Contact patients to confirm appointment details and ensure they understand what to expect at pre-assessment and on the day of surgery.
* Documentation & Systems: Accurately record all bookings and financial information on relevant hospital systems (e.g., IPMS), maintain up-to-date records and generate reports as needed.
* Issue Escalation: Identify and escalate potential delays or issues that may affect patient care, pre-assessment scheduling, or theatre utilisation.
* Inbox & Phone Management: Manage queries from patients and staff efficiently via email and phone, providing accurate information or requesting further details where necessary.

Qualifications & Experience:
Essential:
* Excellent communication and interpersonal skills.
* Fluent English (spoken and written).
* Eligible to live and work in the EU.
Desirable:
* Previous experience in a healthcare administration or scheduling role.
* Proficiency in hospital information systems (e.g., IPMS).
* Strong administrative and organisational skills.
* Experience working in a fast-paced, patient-facing role.
* Ability to use initiative and contribute to service improvement.
