purpose of the role:
The Administration Assistant, Grade IV will be responsible for the Administration of Waiting Lists; Validation, and Management of waiting list entries, for the Registration, Admission and Discharge of patients, for Cancelling and Rescheduling of appointments, and also to ensure the smooth running of the administration support for the department they are assigned to.
There are a number of vacancies within the Scheduled Care Department and the Day Ward.
A panel may be formed from which permanent full time / part time/ specified purpose positions vacancies may be filled.

Key Duties and Responsibilities
5. Provide general administrative support to the department / Clinical staff
6. Registration, admission and discharge of patients
7. Administration of waiting lists; validation, management of waiting list entries
8. Cancellation and rescheduling of appointments
9. Involved in the Outsourcing of patients to various Private Hospitals
10. Liaise with Consultants and their Multi-disciplinary Teams where appropriate
11. Deal with telephone queries relating to the department function
12. Liaise with staff in other departments, the public and outside agencies in a confidential, courteous and professional manner
13. Ensure correspondence with GP’s/other Hospital’s is dealt with in a timely manner
14. Provide Reception cover and support to team members as appropriate
15. Locate charts outside of medical records where required
16. Maintain efficient general office procedures as appropriate to the post
17. Type and file all general correspondence and documentation in relation to the work of the Department
18. Process and facilitate in the collation and presentation of data in relation to research projects and work undertaken by the Department
19. Provide Medical secretarial support when required
20. Use of computer packages relevant to the role

Qualifications & Experience required
Must have:
22. Have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalent
Or
23. Have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher i.e. Fetac Level 5
Or
24. Have satisfactory relevant experience which encompasses demonstrable equivalent skills
And
25. Have a minimum of 2 years administration experience, to include one 1 year health care administration experience
26. Have satisfactory relevant experience of managing / working with waiting lists
27. Practical experience of use of IT systems / packages
28. Fluent command and understanding of the English language to include spoken and written word
Desirable:
29. Knowledge of scheduling patients for procedures
30. Have satisfactory relevant experience in the preparation and running of a clinic / admission and discharge of patients
31. Experience of Microsoft office i.e. Word, Excel, Outlook, PowerPoint
Reward & Recognition
32. Remuneration is in accordance with the Department of Health Consolidated Salary Scales, grade code 0558.
33. The appointment is whole time, permanent and pensionable. A panel will be formed from which future permanent/temporary, full time/part time opportunities may be filled.
34. The annual leave entitlement is 27 working days per year. The leave year runs from 1st April to the 31st of March each year.
35. Normal working hours are 35 worked over 5 days. Your contracted hours of work are liable to change between the hours of 7am to 8 pm over 7 days to meet the requirements for extended day services in accordance with the terms of the Framework Agreement.
