Grade III Clerical Officer Job Description
The Clerical Officer plays a vital role in supporting the service by providing administrative assistance and ensuring high-quality customer service.
Key Responsibilities:
* Provide office support, answer queries, and provide a reception/telephone service.
* Maintain accurate up-to-date records, filing systems, and computerized/paper copy records.
* Manage data, including maintaining, correcting, collating, interrogating, validating, and processing data.
* Assist in and/or prepare reports as necessary.
* Support Service Managers and teams, team members, clients, patients, members of the public, etc.
* Action all communications in a timely manner.
* Represent the service in a positive manner.
Customer Service Expectations:
* Making phone calls to and taking phone calls from members of the public.
* Using email as a form of communication when required.
* Promoting and maintaining a customer-focused environment.
* Treating service users with dignity and respect.
* Acting on feedback from service users/customers and reporting same to Line Manager.
Service Delivery and Improvement:
* Handling sensitive and confidential information according to GDPR guidelines.
* Participating in innovation and supporting change and improvement initiatives within the service.
* Identifying potential problems/inconsistencies in a timely manner and consulting with Line Manager as appropriate.
Standards, Policies, Procedures, and Legislation:
* Maintaining own knowledge of relevant employer policies, procedures, guidelines, and practices to perform the role effectively.
* Holding a working knowledge of HIQA Standards and complying with associated HSE protocols for implementing and maintaining these standards as appropriate to the role.
* Supporting, promoting, and actively participating in sustainable energy, water, and waste initiatives to create a more sustainable, low-carbon, and efficient health service.
