Office Manager | Dublin
Oradeo Recruitment are seeking an experienced Office Manager for an established construction company based in the Dublin Region. This is a permanent position within one of Ireland’s Top Construction Companies.
Overview of Responsibilities:
1. Oversee the daily operations of the office
2. Co-ordinate and monitor the activities that occur within the office to maintain the smooth running of the office.
3. Manage staff holidays – ensuring that there are sufficient resources at all times. In the event of holidays/sick leave, ensure that the workload is distributed amongst other staff and that all deadlines are met.
4. Induction of office staff - Liaising with IT support to ensure new staff are set up on the company’s system on arrival.
5. Ensure office equipment is fully functional and log calls to IT support or provider as required.
6. Procurement of office supplies where necessary
7. Weekly and monthly reporting
8. Invoicing
9. Coordinate & review all office accounts
10. Manage all Facility Agreements & logistics for the office
11. Manage all office related service agreements
12. Procurement - raising requisitions
13. Managing all documentation coming through the office
14. Database maintenance
15. Coordinate contacts lists and telephone queries
16. Ensuring the timely distribution of documents & drawings to project personnel
17. Distribution of drawing transmittals and submittals to client
18. Receiving and full quality check of all drawings and documents transmitted by the lead consultants.
19. Management of document control software system ensuring that all parties receive adequate training and then use the system.
20. Maintenance of controlled document registers and associated documentation
21. Liaising with Scheduler, Safety Manager and Client
22. Maintain up to date Org Charts
23. Cover for the Time Administration of the Project when required
24. Managing other Administrators
25. All other duties associated with this role
Experience:
1. Prior experience in a similar role within the Construction Industry
2. Document Controller / Site Admin experience considered also
3. A business or administrative qualification would be an advantage
4. Very proficient in Microsoft Office Suite; Excel, Outlook etc.
5. Negotiation and problem solving skills
6. Highly organised
