Our client is based in Tallaght, Dublin 12 and is currently recruiting for an experienced Dispatch and Service Administrator to join their busy team. This person will play a vital role in coordinating and managing service operations.
This is a permanent position and salary is circa €37,000 pa, plus generous bonuses and pension. This role is 5 days office based.
DUTIES OF THE ROLE
* Coordinate daily schedules for service engineers based on customer requirements, engineer availability, and job priority.
* Monitor real-time job progress and adjust schedules as necessary to meet deadlines.
* Allocate resources effectively to optimize coverage and minimize downtime.
* Serve as the first point of contact for service requests and enquiries.
* Communicate effectively with customers to confirm service appointments and updates.
* Address customer complaints or issues, escalating to the appropriate team if necessary.
* Maintain accurate records of service calls, including job details, engineer assignments, and completion times.
* Prepare and update reports on service performance metrics.
* Assist with invoicing and follow-up on outstanding payments related to service jobs.
* Liaise with engineers to ensure they are informed of job details, site access requirements, and any specific tools or parts needed.
* Communicate updates and changes promptly to both engineers and customers.
* Coordinate with the parts and inventory team to ensure availability of required materials for service jobs.
THE IDEAL CANDIDATE
* Proven experience in a similar role, such as dispatching or scheduling.
* Strong organizational and time management skills.
* Excellent verbal and written communication abilities.
* Proficiency in using scheduling software and Microsoft Office Suite.
* Good geographical knowledge.
