Job Description
The Role
We are seeking an experienced Senior Coordinator to join our international team in Ireland on a 6 months fixed term contract.
As a Senior Coordinator, you will support the recruiting team, executives, and clients with interview scheduling, utilizing a high-touch and personalized approach. You will manage calendars with limited availability using various administrative tools.
Key Responsibilities
* Build and maintain relationships with candidates and clients throughout the recruitment process by scheduling candidate interviews (phone, video, in-person), including travel.
* Work closely with the recruiting team to ensure all interviews are confirmed and, if applicable, interview feedback is received.
* Partner with the recruiting team to ensure project metrics are achieved.
* Document, track, and maintain records and the status of engagements/requisitions in the applicant tracking system.
* Identify and execute process improvements and solutions that create efficiencies across searches.
* Provide responsive and proactive customer service via telephone, email, etc.
* Manage, review, and send HR and/or recruiting-related correspondence and documents to clients and candidates.
* Perform various administrative duties that support the recruiting function.
* Manage multiple calendars across a single panel interview.
* Schedule meetings with both internal and external stakeholders.
* Prioritize and reschedule meetings as needed.
* Draft and send emails to internal and external stakeholders.
* Facilitate meeting moderation.
* Set up technology and take notes during meetings.
* Send follow-up emails and instructions to participants.
* Ensure completion of next steps.
* Process expenses and book travel.
Requirements
Essential Skills
* 2+ years of project management, administrative experience, or scheduling experience in a team-oriented professional services environment.
* 2+ years of experience working with Administrative Office Tools, including scheduling meetings and virtual meeting tools like Zoom.
* 2+ years of organizing and managing own workload with a focus on details and a sense of urgency to meet deadlines.
* 2+ years of experience working in a fast-paced environment while effectively coping with change.
* High School Diploma/GED.
* Excellent written and oral communication skills.
Preferred Skills
* Bachelor's Degree.
* 4+ years of project management, administrative experience, or scheduling experience in a team-oriented professional services environment.
* Applicant tracking system experience.
* Able to take direction and execute a plan.
* Detailed orientation with follow-through shown in previous roles.
* Proven track record of results.
* More than 1 year of supporting senior executives.
