Job Purpose:
Reporting to the Ireland Fleet Manager and working as a key part of the team being responsible for fleet utilisation and optimisation, fleet administration, vehicle data accuracy, VRT, and vehicle taxation. Attention to detail and a high degree of numeracy is critical, as are strong planning and organisational skills.
Key Responsibilities:
1. Ensure timely receipt of new vehicles onto the fleet
2. Ensure timely ordering of new vehicle orders placed (both stock and customer)
3. Ensure accuracy of vehicle order updates for sales
4. Timely completion of internal Fleet Audits
5. Preparation of paperwork and distribution of new vehicle tax discs
6. Arrange semi-cap for new vehicles
7. Pricing non-core vehicles
8. Maintaining accurate files and logs for the Asset Department
9. Preparation and distribution of biweekly de-fleet plan
10. Adding and updating information and pricing on the company operating system
11. Ensure accuracy of vehicle asset data & accuracy of location of fleet
12. Managing the fleet induction to on hire date
13. Build partnerships and work collaboratively with other internal department functions
14. Effectively communicate; generate professional written material and deliver valuable verbal presentations
15. Assist in managing the organisation’s fleet management process, including acquisition, utilisation and replacement of fleet.
16. Compile and present asset management reports
17. Coordinate work with external third parties, manufacturers, and suppliers and maintain positive relationships
18. Prepare business activity reports and forecasts
19. Find ways to reduce costs
20. Ad hoc duties that contribute to team goals
Key Skills & Experience:
1. Excellent knowledge of all MS Office systems and functions i.e., Outlook, Excel, Word and other PC based systems
2. Strong planning and organizational skills
3. Strong attention to detail & a desire to get things right first time
4. High degree of numeracy
5. Proven ability to multitask and work on own initiative
6. Strong Customer focus and the ability to work with internal and external stakeholders
7. The ability to juggle multiple tasks, work under pressure and meet deadlines.
8. Competent to work independently, take initiative, set priorities, and see projects through to completion.
9. Demonstrate interpersonal and presentation skills for frequent contact with clients and co-workers
10. Highly developed problem solving, analytical, and decision-making skills
11. Demonstrate a positive attitude, integrity and social/cultural awareness
12. Fleet & Vehicle knowledge preferred
13. Knowledge of Vehicle taxation preferred
14. Degree in business, management, accounting, facilities or fleet management, or related field
15. Experience managing capital assets e.g., fleet/equipment/facilities or equivalent etc. or mix of education and experience to meet the essential functions of the position.
